STATEMENT OF PURPOSE:

The purpose of a job description is to outline the essential functions unique to a particular job within a specific department. Job descriptions are used to recruit, train, and evaluate employees.

JOB TITLE: Attendance/Registration Clerk

REPORTS TO: Principal

FLSA STATUS: NON-EXEMPT

JOB SUMMARY:

Under the direct supervision of the principal, the attendance/registration clerk is responsible for performing clerical and record-keeping tasks on the automated computer student information system (Skyward) as required to handle student registration/enrollment/application forms, class scheduling, sending and receiving student transcripts, records, and keeping and balancing student attendance, log and maintain student cumulative files/academic records on current and former students, meet with perspective students and their parents to answer questions, and complete the enrollment packet, maintain waitlist and fill open slots as necessary. Enter all special populations PEIMS codes accurately and in a timely manner.

Upon enrollment request new student records from previous school through TREx, and respond to all TREx requests from other schools no later than ten (10) business days after the request has been made as required by TEA.

Assist parents in the enrollment process to help ensure all required forms are included, completed correctly, and all documents signed by parents as indicated.

Review enrollment packets to ensure they are complete; all required documents must be submitted by parent/guardian prior to entering student information into Skyward, including
Home Language Survey, and distribute as appropriate to principal and special populations department heads.

Process new student records, including transcripts, discipline records, SpEd records if indicated,
LPAC if indicated, create cumulative folder, and enter student data into the student information system.

Process student withdrawals using appropriate withdrawal codes and creating, printing, and disseminating appropriate documents, filing a copy in the student file. Always inform the principal before a student is withdrawn.

Enter all student attendance records into the SIS (student information system) daily, reconciling at the end of each week.

Call parents daily to check on students who are absent that day and notify principal of any irregularities or special circumstances.

Conduct the teacher of record audit at the end of the first and fourth six weeks FSP reporting periods, obtain appropriate teacher signatures and maintain signed rosters for audit purposes, and ensure PEIMS director gets copies of same.

Ensure substitute teachers process attendance correctly in the absence of the teacher of record.

Code all student special populations data into the student information system with the appropriate

PEIMS codes using appropriate documentation.

Assist parents, students, and faculty with questions, including but not limited to, student attendance, registration, and enrollment.

Print At Risk Form for all new students after all enrollment data is entered into the SIS and provide to the principal for completion.

Maintain physical and computerized records, including student cumulative folders, progress and failure reports, class rosters, grade books, and schedule changes.

Maintain all student records as mandated by the Texas State Library and Archives Commission records retention schedule, Local Schedule SD.

Assist the Chief Climate/Culture and Student Services Officer and work directly with other staff responsible for student attendance and truancy responsibilities by providing data and reports as requested.

Check student system daily for system-generated parent truancy letters, print letters, mail original and file a copy in the student’s file.

Mail computer-generated truancy letters to parents in a timely manner, and follow-up with parents to schedule intervention meetings with appropriate principal or vice-principal.

Work with staff and administration to post and/or reconcile progress reports and report card data.

Run progress reports and report cards in a timely manner by following the calendar outlined by the district.

Inform the district early childhood director, as well as the appropriate campus vice principal, of all
Home Language Surveys that indicate any language other than English. Maintain history of such communications as backup.

Under the supervision of the PEIMS director, assist in the annual lottery process and maintain appropriate documentation for audit purposes.

Ensure class enrollment is maintained according the campus approved budgeted ADA by maintaining campus waitlist and filling open student slots in a timely manner.

Under the supervision of the PEIMS director, complete the end of year (EOY) student records rollover to new school year.

Maintain confidentiality.

Perform other duties as assigned.

SKILLS AND ABILITIES:

Ability to provide excellent customer service to students, staff, parents, and visitors.

Ability to effectively use office equipment such as phones, photocopier, printers etc.

Ability to meet attendance requirements.

Ability to meet established deadlines.

Excellent verbal and written communication skills.

Excellent organizational and multitasking abilities.

Solid knowledge of Microsoft Office.

Ability to communicate in both the English and Spanish language.

Proficient keyboarding, and file maintenance.

MINIMUM QUALIFICATIONS REQUIRED:

High school diploma or GED required, relevant degree or certification is preferred.

One year’s related work experience in Skyward preferred.

Valid Texas driver’s license
