Bonita House, Inc. (BHI) is a well-respected nonprofit mental health agency with multiple sites in Alameda County and an operating budget of $10 million. It was founded in 1971. BHI is also a social rehabilitation agency providing a full range of Medi-Cal services to adults with co-occurring serious mental health and substance use disorders. BHI has a growing Crisis Department working with Alameda County, the City of Pleasanton, the City of Albany, and now the City of Berkeley.


In response to the killing of George Floyd by Minneapolis police in May 2020 and the ensuing protests across the nation, the Berkeley City Council initiated a wide-reaching process to reimagine safety in the City of Berkeley. As part of the Re-Imagining Public Safety process, the City engaged in research and planning for a Specialized Care Unit (SCU). This Unit will become a 24/7 mobile unit designed to respond to and support people who are experiencing a mental health or substance use crisis without direct involvement of the police.

Position Summary:

The Data Coordinator is an essential position in the program providing excellent customer service as the first point of contact for phone and walk in customers and spearheading departmental data collection and billing support. They perform pro-active problem-solving to ensure that the department’s needs are provided for in the most effective and timely manner possible.


The ideal candidate has prior office and billing experience in a mental health or medical environment with strong organizational and interpersonal skills. They will assist with billing to Alameda County INSYST system and Medicare, including maintaining an eligibility tracking system for Medi-Cal and Medicare billing, and maintaining work unit’s reports and records suitable for county, state and federal auditing. The Data Coordinator reports to the Director of Crisis Services.


Key Responsibilities:

  • Organizing purchasing of program supplies and tracking expenditures when needed
  • Running reports in appropriate EHR systems and aggregating data to support analysis
  • Opening and closing of episodes using INSTYST, Welligent and other Electronic Health Record systems.
  • Assisting with documentation corrections when needed.
  • Submission of CSI data forms for every episode.
  • Supporting clinicians using apps by assigning calls, uploading documents and organizing QA process
  • Creates files and manages filing system for PHI provided by clinicians
  • Coordinating expense reimbursement forms for program management
  • Faxing mandated reports for field staff within appropriate deadlines.
  • Taking notes during team meetings when needed
  • Assisting other programmatic admin staff when needed
  • Assisting with event hosting and planning when needed
  • Any other duties assign by Crisis Department management

Education and Experience Required:

  • High school diploma, GED or AA, preferable BA
  • Minimum of 3 years of prior office/reception experience, prior experience in healthcare environment/setting.
  • Knowledge of office equipment: computer literacy, Microsoft Word, Excel, EHR, fax, scanner, copier experience.
  • Must demonstrate an ability to work both independently and as a member of the Team.
  • Must be able to travel to and from worksite and other locations within Alameda County.
  • Must utilize strong problem solving, critical thinking and organization skills with the ability to maintain these competencies under pressure.
  • Solid written skills to meet the required standards of documentation.
  • Must be able to meet the Immigration Reform Act of 1986 requirements.
  • Must have valid California Driver’s License and a driving record acceptable by the Agency’s insurance company.
