POSITION SUMMARY


The Benefits Administrator at the Lucas Museum of Narrative Art is responsible for oversight and management of all benefits programs, including medical/dental/vision, leave administration, insurance billing, and other duties as assigned. The museum is looking for someone passionate about providing world-class service to employees as a key team member of the Human Resources department, specifically with benefits enrollment and administration, leave of absence coordination, development of employment policy, and workers’ compensation processing.

RESPONSIBILITIES


Benefits Administration


  • Coordinate benefits processing to ensure the accuracy of all benefits enrollments and qualifying life event changes in the museum’s HRIS

  • Respond to employee inquiries regarding benefits, particularly around benefits enrollment, status changes, and general inquiries

  • Work closely with other HR team members to coordinate and communicate events related to employee benefits such as open enrollment, health fairs, lunch-and-learn sessions, as well as identify and contact vendors to participate in these events

  • Monitor ACA compliance

  • 403(b) Administration perform plan enrollment, billing maintenance, and plan administration duties, as well as process changes to enrollments and deferral changes on a bi-weekly basis

  • Work closely with the insurance broker to resolve employee issues related to benefits

HR Administration


  • Administer employee leaves of absence including FMLA, CFRA, disability leave, and other legally protected leaves.

  • Track all leave-of-absence documentation, notifications, correspondence, and administration details accurately and in a timely manner.

  • Assist employees and answers questions related to leave of absence, particularly FMLA

  • Administer the workers compensation claims process including providing applicable notices, monitoring employees treatment process and medical restrictions, and engaging in an interactive process regarding return to work

  • Utilize all applicable communication methods to ensure employees receive timely information and updates regarding company policies, legal notices, and other job-related news

  • Support the Chief, People and Culture Officer in keeping abreast of changes to employment policy and implementing changes to employment protocol as needed

  • Engage in special projects and other duties as designated by the Chief, People and Culture Officer or other designee

MINIMUM QUALIFICATIONS


Education and Experience


  • Bachelor’s degree is preferred;

  • Coursework in HR management a plus

  • At least four (4) years of prior experience in benefits administration

  • Experience working with an art or non-profit organization is preferred

  • Prior HRIS implementation experience is preferred

  • Previous experiences working in partnership with an insurance brokerage toward developing comprehensive benefits and wellness plans for employees

  • Solid strategic planning, organizational, and project management skills

  • A collaborative team player with highly developed interpersonal skills, who has the ability to relate to diverse internal and external audiences

  • Excellent judgment and creative problem-solving skills, including negotiation and conflict resolution

  • Exceptional written, oral, interpersonal, and presentation skills

  • Advanced computers skills, particularly with Microsoft Office


Knowledge


  • Thorough knowledge of payroll practices and federal and state laws related to payroll required, including ACA reporting

  • Strong understanding of California taxation rules

  • Extensive knowledge of payroll and HR systems similar to ADP Workforce Now, Paycom, Paylocity, and Ultimate Software

  • Strong knowledge of benefits and leave administration

  • Ability to work under high-stress conditions and work effectively with competing priorities and tight deadlines

  • Ability to listen and communicate (written and verbal)

  • Excellent grammar, spelling, and proofreading skills

  • Ability to follow-up quickly and effectively with all staffing levels and clients

  • Ability to work independently as well as part of a team

  • Ability to respect and maintain highly confidential information


Salary and titles will be assigned commensurate to the successful candidate’s education and experience. An attractive compensation package will be offered to the successful candidate.
