SUMMARY OF POSITION :
Working independently, under the guidance of the Director, the Associate Registrar for Exhibitions is responsible for organizing and managing all phases of the assembly and dispersal of major domestic and international exhibitions for the museum, its global affiliates, and outside venues.

SKILL AND EXPERIENCE REQUIREMENTS :
    • Minimum of 5-7 years of experience in exhibition registration.
    • Excellent organizational and time management skills.
    • Excellent interpersonal, verbal and written communications skills, with strong attention to detail.
    • Flexibility and the ability to handle multiple projects in a fast-paced environment a must.
    • Ability to be proactive, use independent judgment and initiative.
    • Strong computer skills and fluency in collection management databases are required, with specific expertise in TMS (The Museum System) strongly preferred.

KEY RESPONSIBILITIES :
Duties may include, but are not limited to, the following:
    • Manage exhibition data in TMS database.
    • Develop and manage exhibition budgets, gathering estimates and negotiating with vendors, and re-forecast budgets through duration of project.
    • Plan, arrange, and record all shipping details to and from the exhibition venues, including: crate construction, packing, freight forwarding, insurance, and travel arrangements for couriers for major collection and loan exhibitions.
    • Plan installations/de-installations and courier schedules in collaboration with exhibition team.
    • Participate in installations/de-installations on the ground, overseeing all art handling, unpacking/packing; recording packing notes; and conducting incoming and outgoing condition examinations in consultation with Conservation department for artworks arriving to and departing from exhibition venues.
    • Receive and release art shipments and generate accompanying paperwork, including lender receipts.
    • Coordinate with lenders all assembly and return details for their loans.
    • Review lender-generated contracts, liaising with Curatorial, Exhibition Management, and Legal departments as necessary, and negotiate terms with lenders as appropriate.
    • Prepare relevant sections of U.S. Government Indemnity and Immunity from Judicial Seizure applications.
    • Manage and track exhibition insurance; prepare and issue certificates of insurance.
    • Reconcile exhibition invoices and process for payment through institutional invoice system.
    • Maintain and update digital and hard-copy registrar records for current exhibitions and archive records from closed exhibitions.
    • Conduct periodic gallery check inspections.
    • Provide backup department assistance and courier collection loans when available.



WORK DEMANDS and ENVIRONMENT : : :
    • Ability to travel within the metropolitan area as required to perform the above duties at any of the Guggenheim’s owned or leased properties upon request.
    • Willingness to travel domestically and internationally.
    • Foreign language skills a plus.
    • Occasionally work may be conducted outdoors, exposure to varied weather conditions.
    • Ability to work nights, weekends, holidays on occasion, including receiving shipments after hours.
    • Ability to lift at least 25 lbs.

EDUCATION ::
    • Bachelor’s Degree required.
    • Master’s Degree preferred.

REPORTS TO : : : :Director, Registrar

LOCATION :: Guggenheim offices (primary) and Museum (frequently)

WORK SCHEDULE :: 40 Hours per Week, Schedule TBD

POSITION TYPE : : :Full-time, Non-Exempt, This position will become a position covered by a Collective Bargaining Agreement with Local 2110 UAW.

SALARY RANGE: :$70,000 - $75,000
