DEPARTMENT: Egan School
BASIC FUNCTION: Provides support for Undergraduate Associate and Assistant Deans in the Egan School and provide support to the 4th floor office suite. Assistants with office record keeping and mail distribution; helps maintain office equipment and repair.
UNUSUAL WORK CONDITIONS:
KNOWLEDGE AND SKILL NEEDED:
EDUCATION: High School diploma with some college or equivalent related experience.
EXPERIENCE: 2-3 years office experience. Computer proficiency utilizing various software packages and working knowledge of Banner or equivalent integrated educational computer system. Good interpersonal, communication and organizational skills.
REPORTS TO: Associate Dean for Undergraduate Studies
ESSENTIAL FUNCTIONS:
Provides support for Associate Dean for Undergraduate Studies, Undergraduate Assistant Dean, and 4th floor office suite.
  • Serves as the principal resource and support for the fourth floor suite.
  • Monitor front desk and direct inquiries as appropriate
  • Answer phone and direct inquires as appropriate
  • Help monitor and respond to the Egan Resource/Clinical Placement email account
  • Provides administrative support for Associate and Assistant Deans
    • Coordinate and schedule meetings
    • Arrange rooms for meetings
    • Sending email messages on behalf of UG Deans
    • Providing Banner reports for:
      • Student information
      • Enrollment numbers
      • Student schedules
    • Assist with projects and research as assigned by Associate/Assistant Deans
      • schedule meetings times/rooms, send out invitations
      • Sending out surveys—and run preliminary analysis
      • Coordinate resources
      • Provide clerical support
    • Assistance with monitoring
      • NCLEX pass rates
      • SBOEN reports
      • Mountain Measure reports
      • ATI billing—student numbers
      • UG student class reports
        • Changes in numbers
        • withdrawals
  • Assist with Clinical Placement Office tasks including but not limited to:
    • Liaison for adjunct faculty and clinical placement team
    • Update adjunct faculty list and prospective adjunct list on an ongoing basis
    • Forward prospective clinical and preceptor inquiries to clinical placement team for follow up
    • Compliance monitoring, running reports, following up with students
    • Assisting students with questions and issues with loading information into the online platform
    • Ordering adjunct clinical badges and other necessary materials for adjunct faculty
    • Obtaining student individual schedules
    • Obtaining student photos
2. Participates in the professional development of the department.
  • Promotes an image of efficiency and courtesy throughout the University community and consistent with the department’s mission
  • Attends departmental staff meetings as requested
  • Serves as a responsible committee representative as requested
  • Communicates effectively with supervisor concerning pertinent departmental or university matters
3. Promotes safe and secure working conditions.
  • Promotes the proper utilization of equipment and materials,
  • Notifies supervisor immediately of any unsafe conditions.
