JOB SUMMARY:*
The Assistant Registrar’s main responsibility is to assist the Registrar in the day-to-day operations of the office, with specific attention to providing assistance to NEC’s diverse constituencies (students, faculty, staff, and alumni). Including, but not limited to: maintaining all college academic records, assisting in overseeing office projects for the Registrar, assisting in all Commencement responsibilities, conducting research for re-creation of transcripts, and ensuring the confidential nature of academic records in compliance with the Family Educational Rights and Privacy Act [FERPA] as expressed in NEC policy and procedures.
This position reports directly to the Registrar.

ESSENTIAL FUNCTIONS:*

  • Maintenance of all college academic records:
  • student registrations
  • faculty class lists, including managing course waitlists
  • transcripts, with attention to the processing of transfer credits, changes of major or degree, changes of student status, and course substitutions
  • collection, recording, and distribution of grades
  • grade change processing, which includes notifying students and their academic advisors of changes in GPA and academic standing
  • tracking of cross-registration and independent studies
  • ad-hoc generation of reports for faculty and students (class lists, grade rosters, report cards); and archival of student records and maintenance of Registrar’s archive.
  • Process transcript requests:
  • receive requests and print/copy transcripts and, when required, convert transcript to an electronic PDF format
  • verify accuracy of transcripts, correcting or creating as necessary
  • work with authorized officials when notarization or other official forms of document verification are required.
  • Assist in all Commencement responsibilities
  • Gather information from students via Conservatory-approved communication regarding programs and diplomas, such as name to be used, Commencement attendance status, and distribution of documents after commencement
  • Compile information used to order appropriate regalia (cap, gowns, hoods) for the Commencement ceremony from students, faculty, and staff, and from members of the Board of Trustees and President’s Council
  • Organize and assist with Cap & Gown distribution to students, including managing of student workers and staff during dispersal and collection
  • Other commencement ceremony activities as assigned (i.e., arranging hoods, assisting with diploma distribution).
  • Assist Registrar in overseeing office projects, including: creation of course schedule; checking and tracking of qualifying degrees for incoming students; preparing various documents for binding and archiving; and Academic Review Committee work.
  • Research: former students (for re-creation of transcripts, and statistical reporting as needed or assigned.)
  • Assist the Office of Student Services’ Office Coordinator as needed with the processing of: enrollment verifications, Registrar’s correspondence, and filing.
  • Other duties as assigned.

QUALIFICATIONS:*

  • Bachelor’s degree required.
  • Minimum of one (1) year experience working in a higher education setting; prior experience in a Registrar’s Office, Student Records, or Enrollment Services a plus.
  • Proven ability to complete complex tasks independently, accurately, and in a timely manner.
  • Successful experience working in a high profile, high work volume office environment.
  • Ability to work effectively with a wide range of constituencies.
  • Outstanding oral, written and interpersonal communication skills.
  • Knowledge of computer systems for education institutions required. Specific knowledge of Google Suite (including Gmail, Drive, Forms, Docs, Sheets), Microsoft Office products (including Word, Excel, Powerpoint, etc.) necessary; prior experience with the National Student Clearinghouse website, Adobe PDF Creator, Adobe InDesign, Ellucian’s PowerCampus software and its online tool Ellucian
  • PowerCampus Self Service preferred.
  • Must be able to work occasional weekends and evenings as needed (i.e. New Student Orientation, Commencement).
