JOB DESCRIPTION

Position Title: Assistant Project Manager

Employment Classification: Non-Exempt
Reports to (Supervisor Title): Project Manager

Position Summary/General Description:

An Assistant Project Manager will provide administrative and tactical support to the Project Manager to provide clients with fast, efficient and cost-effective service. The Assistant Project Manager will also provide assistance in the execution of all start-up, ongoing, and close-out contractual documentation to determine requirements for project and deliver and deliver projects in a highly interactive and flexible manner.

Essential Duties & Responsibilities:

· Coordinate and assist with Project Manager, Operations Manager and Superintendants on various aspects of projects, including task assignments, deadline management, billing, and project movement.

· Assist in the development of project proposals, cost estimates and budgets, timelines and schedules and follows-up on project activities.

· Prepare reports for Project Managers and Operations Manager, and Superintendants on status of all services provided for specific projects.

· Develop, prepare, review, issue, and maintain project COGS for change order logs, Architect/Engineer Request for Information (RFI’s), Architect/Engineer Supplemental Information (ASI’s), Owner/GC contracts, sub-contracts, supplier agreements and submittal log.

· Coordinate and assist in the development of electronic and written materials for project management proposals, presentations, and status updates.

· Review and coordinate submittals, fixture and gear packages, drawings, addendums, specifications and shop drawings to ensure compliance with contract documents.

· Act as liaison between client and contractors involved in project implementation and assure that all contracted work is satisfactorily completed according to specifications.

· Generate invoices for clients based on services rendered and in coordination with the Project Manager and Operations Manager.

· Prepare written estimates for clients based on labor, materials, equipment and other expenses.

· Coordinate with suppliers and vendors to ensure crews have the materials they need.

· Obtain and maintain work schedules and schedule of values to reflect change orders and revisions for accuracy of pay request.

· Process and pay applications and lien waivers.

· Maintain and archive/file permits, inspections, material lists, purchase requisitions, purchase orders, affidavits, blueprints and schematics for future access.

· Obtain copies of documents related to quality control, safety and maintain current quality control books and safety journals.

· Obtain copies and maintain current files on punch lists, certificate of substantial completion, certificate of occupancy or final completion.

· Obtain and maintain current copies of operations and maintenance manuals, as built drawings, standard operating procedures and policies and procedures.

· Obtain and price material lists and prepare warehouse reconciliation form to be submitted to accounting.

· Must have thorough understanding of the plans and specifications for each project; in the event that there is difficulty with interpretation of contractual scope of work contact administration.

· Assist in the coordination of all personnel: vendors, contractors, etc., necessary to complete the project.

· Conduct customer satisfaction assessments electronically, by phone and/or in person, consolidate data and recommend changes to enhance customer experience and satisfactions.

· Establish clear communication and relationships with clients to ensure project satisfaction and future business.

· Inspect “as-built” vs. “as designed” drawings on a regular basis to ensure that documentation is being performed in a timely and accurate manner; recommend corrective action if necessary and notify the Operations Management of non-compliance.

· Track all jobsite changes, quick quotes, time and materials (T&Ms), additional work authorizations (AWAs), and the use of all appropriate forms and make sure they are processed in a timely manner to ensure efficient project management.

· Oversee the usage of rental equipment (ordering, usage and return) to ensure that overbilling does not occur.

· At all times maintain a courteous, positive and professional working relationship with all personnel and the general public (e.g. clients and vendors).

· Performs additional duties and responsibilities as necessary or assigned.

Education & Experience:

· High school diploma or GED required.

· Two- or four-year degree highly preferred.

· Two (2) years relevant work experience preferred.

· Experience in the electrical or construction industry a plus.

· Ability to follow directions and take initiative when required.

· Excellent communication, accounting and organizational skills.

· Appropriate certifications and professional designations within career field, college level accounting coursework and work experience may substitute educational requirement.

· Strong computer skills, excellent verbal and written communication and outstanding interpersonal skills required.

Licensing & Certification:

· Licensed Journeyman Electrician preferred.

Computer Equipment, Software, Machinery:

· Proficient in basic computer skills (e.g., Word, Excel, PowerPoint, Outlook).

· Uses a power lift to perform some tasks up to 40 feet.

Essential Physical Requirements:

  • The job requires the ability to balance/climb, bend over, crawl, crouch/stoop, drive, hear, kneel, reach overhead, stand, talk, turn/twist, walk, and repetitively use hands 51-100% of the time.
  • The job requires the ability to sit 25-50% of the time.
  • The job requires the ability to push/pull, carry, lift, and slide/transfer 1-50+lbs. 51-100% of the time.

Essential Mental Demands:

· The job requires the ability to problem solve, organize, plan, make decisions and interpret data 51-100% of the time.

· The job requires the ability to write and read 25-50% of the time.

Supervisory Responsibilities:

· None.

Work Environment (inside/outside):

· The job is performed indoors and outdoors with exposure to hot/cold temperatures, loud noises and confined areas.

Other Requirements:

· Must maintain any and all licenses and/or certifications required to operate in the State of New Mexico.

· Must pass a pre-employment alcohol/drug screening.

Job Type: Full-time

Pay: $16.00 - $25.00 per hour
