ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.


Administration

  • Monitor incoming and outgoing traffic, log visitors and notify appropriate staff
  • Process incoming/outgoing mail, deliveries, faxes and correspondence in an efficient and professional manner
  • Maintain adequate inventory of office supplies and monitor the maintenance schedule for all office equipment
  • Maintain documentation required for audits or visits from regulatory agencies
  • Responsible for the effective implementation of company sponsored events according to budget and satisfaction of employees.
  • Provide direction and support in the planning and coordination any company sponsored events, social functions, and facility tours.
  • Coordinate requisitioning of temporary help when needed.
  • Responsible for purchase, maintenance and programming of all office equipment. Maintain a working knowledge of all office equipment/systems for problem resolution, and train employees.
  • Participate in Safety Committee meetings and prepare and distribute minutes
  • Maintain Safety Policies and contractors’ information files as directed by Environmental/Safety Superintendent
  • Occasionally makes travel arrangements for department management.

HR

  • Maintain local employees records (general information, benefits, medical, training)
  • Coordinate new employee benefits paperwork and current employee changes
  • Act as liaison between corporate HR and local management for hiring/termination process and benefit changes
  • Manage employee on-boarding process from offer to start date including background screen, drug screen, Company announcement, and new hire paperwork.
  • Conduct interviews and participate in hiring decisions.
  • Conduct new employee orientation to ensure accurate explanation of Company policies, procedures, and benefits in a positive manner.
  • Conduct exit interviews, and provide assistance/support for disciplinary procedures as needed.
  • Process and distribute all employee communications
  • Act as a liaison with Corporate HR and local HR organization in developing and implementing programs and activities.
  • Complete timecard calculations, review payroll reports for accuracy prior to processing, and resolve payroll discrepancies such as missing punch information and forward information in a timely, accurate manner to centralized payroll processing.
  • Maintain vacation/sick day calendar for workforce
  • Update Plant Managers calendar to reflect staff time off

This job has no supervisory responsibilities.


QUALIFICATIONS

Must be customer service oriented and exhibit a professional, pleasant telephone demeanor. Intermediate word processing skills and good spreadsheet skills required. Windows Operating System and Microsoft Office experience required. 10-key proficiency and experience with typical office equipment required. Effective organizational skills and ability to prioritize are required to handle detailed information and multiple tasks/priorities. Must be able to work independently and meet various deadlines.


EDUCATION and/or EXPERIENCE

Three to five years general office/HR experience required. Two year associate degree preferred.


LANGUAGE SKILLS

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.


MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.


REASONING ABILITY

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
