JOB SUMMARY

Reporting to the Associate Director of Signature Programs & Local Alumni, the Assistant Director for Alumni Outreach and Programs collaborates with colleagues and alumni volunteers to plan and execute programs and services that meaningfully engage alumni with UC Santa Cruz and with each other. The Assistant Director plays a strategic role in working with current students and recent alumni, building a lifelong connection to the University through programs, communication, and volunteer opportunities. This includes oversight and strategy for the New Student Sendoff Program, Senior Class Alumni program & communications, and Recent Alumni activities (welcome to the city, etc). In addition, the incumbent supports the overall vision and goals of the department by managing program communication and supporting pre and post event management.

APPOINTMENT INFORMATION

Budgeted Salary: $24.96 - $29.46/hour.
Under California law, the University of California, Santa Cruz is required to provide a reasonable estimate of the compensation range for this role and should not offer a salary above the posted range. The salary shown above is the budgeted range the University reasonably expects to pay.

JOB DUTIES

50% - Recent Alumni & Student Engagement
  • Responsible for creating, managing, and executing an engagement plan for recent alumni that encourages and fosters their life-long relationship with UCSC through events, volunteerism, and programs.
  • Engage actively with the Divisions of Student Success and Undergraduate Education, partnering on to build effective student programs that leverage existing student experiences to post-graduation engagement (IE: Cornucopia, Grad Fair, etc).
  • Partner with the Assistant Director of Regional Programs & UCSC Admissions on the New Student Send Off program; an annual program for incoming students and families to begin laying the foundation for their lifetime connection with UCSC.
  • Advise student engagement groups, manage student workers and volunteers; Slug to Slug, Class Council etc.
  • Host events to raise campus pride and promote a lifelong commitment to UC Santa Cruz.
  • Plan, execute and oversee programming for recent alumni (0-10 years from graduation) to maintain and deepen their connection to UCSC.
  • Plan, execute and oversee programming to ease the transition from student to young alumni status.
  • Create opportunities for alumni to connect with students to support networking and mentoring initiatives.
  • Create opportunities to connect students and alumni for career networking and mentoring activities.
  • Coordinate student volunteer program for signature events.
  • Plan, execute and oversee programming to engage current students as future alumni and "plant the seeds of alumni loyalty and philanthropy" while they are enrolled at UCSC.
  • Partner with campus colleagues to coordinate the alumni communications and commencement activity for graduating students ensuring the transition opportunity to is maximized to welcome graduates into the alumni network.
  • Plan, execute and oversee programming to ease the transition from student to young alumni status. Partner with campus colleagues for an annual "Life After UCSC" report highlighting alumni 'success' stories from students one year after graduation.
  • Staying informed on current university-wide initiatives and activities, as well as overall student and young alumni sentiment.
  • Responsibility for tracking engagement data in the university database.
  • Responsibility for tracking student engagement data in CRM.

30% - Young Alumni Engagement Program Communication
  • Manages the alumni associations' social media strategy and platforms in close collaboration with the University's overall social media strategy, creating content, measuring engagement, and driving traffic.
  • Create and manage event registration pages; preparing event materials such as nametags, registration lists, and other collateral; assisting with the coordination of speakers and meetings; and serving as point of contact to alumni online and in-person, supporting attendee management at events and responding to inquiries over email and occasionally by phone.
  • Coordinate the alumni engagement relations email inbox and implement all communication pieces associated with alumni engagement Alumni Relations programs and events including: template creation and editing process; coordinate alumni print and digital content.
  • Logistical coordination of mailings and emails, including maintaining a marketing calendar.
  • Coordinate and update content management on alumni program/event webpages.
  • Manage the intake and reply process for the central alumni email inbox & phone line.
  • Provide excellent customer service to alumni and others in response to phone, email inquiries, and requests for information.
  • Establish and implement all young alumni engagement programs.
  • Plan, execute and oversee new programming for young alumni (0-10 years from graduation) to maintain and deepen their connection to UCSC.
  • Host on-and-off campus events to engage young alumni and promote a lifelong commitment to UC Santa Cruz.
  • Create opportunities for young alumni to connect with students to support networking and mentoring initiatives.
  • Coordinate the young alumni volunteer program.
  • Responsibility for tracking young alumni engagement data in CRM.

20% - Program Support
  • Assist in the staffing of events as needed, including registration/check-in for alumni events.
  • Coordinate with the department's student worker(s) to oversee data input, integrity, and reporting in customer relationship management (CRM) tools.
  • Develop post-event reports that analyze alumni attendees, gathers their feedback, and compiles other event data to help organizers measure success and inform improvements.
  • Review, research, update, and maintain alumni data in alumni database - managing database entry and maintaining event data entry to ensure database accuracy.
  • Possibly oversee student workers to assist with clerical tasks such as data entry, errands, and mailings.
  • Serve as a partner in University Relations initiatives.
  • Perform other responsibilities and projects as needed.

REQUIRED QUALIFICATIONS
  • Bachelor's degree or equivalent experience in fundraising, volunteer engagement, pipeline development and institutional advancement.
  • Knowledge of basic concepts and principles of building and maintaining effective relations with a variety of alumni and other key constituencies.
  • Excellent verbal communication skills to effectively convey information to individuals at various organizational levels, both internally and externally.
  • Excellent interpersonal skills and demonstrated ability to interact harmoniously and cooperatively with students, staff, alumni and faculty with diverse ethnic, cultural, and socioeconomic backgrounds.
  • Excellent organizational, time management, and decision-making skills to prioritize projects and workflow and meet deadlines for simultaneous projects.
  • Excellent writing skills, with the ability to compose clear, concise materials and correspondence using correct grammar, spelling, punctuation, and accurate proofreading.
  • Experience managing social media strategy - understanding the opportunities and use for each major platform and effective social media communication.
  • Excellent attention to detail and organizational skills. Ability to work in a fast-paced environment and handle multiple projects simultaneously.
  • Knowledge and experience working with database systems in order to track, maintain and produce reports. Experience using email marketing tools, CRM, G- Suite, and some experience with graphic design programs are required.

PREFERRED QUALIFICATIONS
  • Experience and high level of comfort using and learning digital tools (editing website, building registration forms, and creating mass emails. Ability and willingness to learn new systems and software programs.
  • Experience conceptualizing, planning, coordinating, and evaluating programs.
  • Experience using email marketing tools, CRM, G- Suite, and some experience with graphic design programs are required.
  • Demonstrated experience planning, implementing and evaluating programs and events, preferably within a College or University setting.
  • Familiarity with mentorship and networking concepts and programs.student engagement principles and theory.

SPECIAL CONDITIONS OF EMPLOYMENT

  • Must be able to work remotely from a home office and be able to fulfill requirements of the UCSC telecommuting agreement.
