Essential Functions & Responsibilities:

Pre-Construction Coordination
  • Manage and organize design management calendar to organize meetings, deadlines and site visits.
  • Assisting in design reviews.
  • Procore drawing upload management and verification.
  • Unit matrix standardization and unit/amenity size verification.
  • File management – lessons learned documents, design exhibits, meeting agendas/minutes and zoning/code research documents.
  • Act as fill-in when Senior Design Managers are unavailable for meetings or site visits.
Entitlements, Zoning and Permitting
  • Assists in tracking zoning submittals.
  • Assists in whatever tasks are necessary for the permitting process.
Third Party Coordination and Internal Liaison
  • Assist development and design management in solicitation, review and recommendation for all consultants’ proposals for scope and cost; and assists in reviews of proposals for contracts and preparing contracts.
  • Communicates regularly with Development team, Pre-Construction team and Construction team on project progress and proactively brings material issues to the attention of the appropriate party.
  • Communicates with Dry Utility Consultant as needed.
  • Organize and regularly update the Lessons Learned document within Procore.
  • CAD coordination of fitness equipment designs with the design consultant team. Make sure internal sign off is received before design team coordinates design.
  • Sample room management
  • Works closely with Vice President, Design Management and Director of Design Innovation providing support on ad hoc issues as needed.
Design and Drawing Review
  • Assists in the selection of all color schemes, pool finishes, landscaping plant mater, etc.
  • Provide quick design solutions as needed.
  • Reviews all design documents for coordination and provides comments to design consultants in Procore using the Design Deliverable Consultant Rating Checklist scoring system.
Construction Coordination
  • Monitors construction schedules.
  • Periodically helps Senior Design Managers make decisions on RFI's and Submittals received from the job site and design consultants.
  • Fills in for Senior Design Managers on site visits and PSR meetings when SDMs are unavailable.
  • Assist in SDM site observation reports as needed.
  • Create internal plan diagrams as requested by AM or Development.
  • Assist in area takeoffs using Bluebeam.
Market Trend Analysis
  • Assists Vice President, Design Management with the collection and coordination of design components/product types for current developments, competitor developments (i.e., flooring, windows, kitchen features, and amenities) and best practices from other product types (single family, hospitality, resorts, etc.).
Non-Essential Functions & Responsibilities:
  • Other duties as assigned.
Education, Work Experience, and Physical Requirements
  • Bachelor’s Degree in Architecture, Engineering or Construction Science
  • Related work experience of 3 – 5 years.
  • At least 4 years in an architecture project management or construction management role.
  • Demonstrated ability to communicate and work effectively with different design consultants.
  • Excellent verbal and written communication skills, including the ability to effectively communicate with internal and external customers.
  • Excellent computer proficiency (MS Suite – Word, Excel, PowerPoint, and Outlook).
  • Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service.
  • Ability to work independently and to carry out assignments to completion within parameters of instructions given prescribed routines, and standard accepted practices.
