BASIC PURPOSE AND SCOPE OF POSITION
Provide department support and advanced vocational administrative assistance to a senior director/division manager of large, complex functional areas.
PRINCIPAL ACTIVITIES: This position does the following in accordance with all applicable Federal, State and local laws / regulations and the Company’s policies, procedures and guidelines:
1. Respond to correspondence relating to confidential and/or complex matters, requiring knowledge of the assigned areas’ polices and procedures.
1. Respond to questions, requests and complaints either by telephone or in person from dealers, customers, and area staff.
1. Prepare information requests for various meetings, requiring researching, gathering, and summarizing data.
1. Prepare various area related information packets such as new/terminated dealer kits or new hire orientation packets.
1. Prepare and analyze trends and status reports, gathering data from a variety of sources within and outside assigned area.
1. Maintain complex files and databases and prepare related reports involving technical and statistical information.
1. Perform project work or program coordination that involves following procedures and processes (e.g., Terms Bank, discount requests).
1. Process materials for assigned area budget; utilize spreadsheets to maintain budget and organize records; monitor expenditures; make travel arrangements; submit expense/travel claims for payment and requisitions for office supplies.
1. Arrange for repair work on buildings and equipment.
1. May provide customer service to dealers, providing information on programs and services.
1. May provide oversight of division mailroom.
SPECIAL PROJECTS
Special projects may include participating in annual meetings to assist in order input and attendance reports.
MINIMUM QUALIFICATIONS

EDUCATION, CERTIFICATIONS, AND TRAINING:
Associate’s degree and 3 to 5 years related experience.

SKILLS AND BACKGROUND:
1. Ability to use a computer to enter and/or retrieve information.
1. Proficiency using Microsoft Word, Excel, Access and PowerPoint, and the ability to quickly learn and use other software packages.
1. Ability to perform basic mathematical calculations, addition, subtraction, multiplication, division, use of fractions and percentages.
1. Effective verbal and written communication skills.
1. Excellent customer relation skills.
1. Good time management skills and ability to multitask.

LANGUAGE REQUIREMENTS:
Must be able to read, write and communicate in English.
