Job Description Summary

WVNCC seeks applicants for Admissions Operations Coordinator in the Student Services department.

This is an on-campus position on the Wheeling Campus.

Coordinate, process, troubleshoot, and maintain all admissions applications including Allied Health, and admissions communication processes including follow-up and documentation. Provide backup to the Service Center functions.

Responsibilities and Duties include but are not limited to

Process all admissions admission application and communications including letter generation for all admissions letters following initial acceptance. Serve as imaging processor for all admissions functions. Monitoring all admissions addresses is included.

Troubleshoot problems with student admissions applications which result in a lack of a student letter, incomplete applications or inaccurate or inconsistent information. Correct or research information to provide timely communication to provide both short and long term resolutions.

Monitor all admissions documents and online applications for current majors, application timelines and accuracy of general college information. Maintain consistency with the paper and online admissions application ensuring that current and consistent information is collected. Provide written information to those entering applications when this process changes.

Using available software tools, create and process Argos reporting to assist with follow up mailings, text and outreach activities related to admitted students. Maintain documentation of communication with admitted students and provide a list as needed.

Maintain communication with the student when troubleshooting problems related to student admissions applications and provide timely results including communication with IR, Records/Registrar’s Office and VP of Student Care and Success to provide both short term and long term resolutions.

Assist with the coordination of all new student information mailings, email series for new students and direct mailings related to admissions.

Provide processing and communication to home schooled, EDGE, transient and international students, including monitoring documentation tracking.

Assist with monitoring and maintaining the admission website for consistency and accuracy of information

Review incoming high school transcripts. Enter into the Banner system by providing student and school code information. Enters test scores into Banner. assists in entry in transcript receipt information into system. Notify student of receipt of transcript as needed.

Coordinate Allied Health applications including review of application according to program approved criteria, monitoring deadlines, responding to student inquires and providing student follow up information, providing information to program directors and division secretaries, and entry and imaging of applications and providing information to campus staff related to status of incomplete applications

Serve as backup to Wheeling Campus Service Center by providing and maintaining a professional, well-organized, customer-friendly service center which functions as the campus communication hub. Assure quality information and assistance while safeguarding order, security and confidentiality of information, documents, and services by phone, mail, e-mail and in person to all current and prospective students, and alumni. Incorporate information for academic programs, student enrollment policies and processes, financial assistance and the various options available in communications, establishing and providing current up-to-date information for faculty, adjunct faculty, staff and the general public.

Provide information on student holds and outstanding documents at specified times throughout the academic calendar. Additionally, provide support including contacting students on clean-up of information for data standards, state reporting purposes and address verification.
