Job Title: Administrative Support Generalist

Reports To: Firm Owner

FLSA Status: Non-Exempt – 35 Hours per Week

Summary: We are currently looking to staff for this position, which is new to our firm. This employee will perform office and clerical support duties and provides administrative support when and where necessary to our more specialized staff. These duties have a wide range including supporting functions around project management systems, tax and accounting document intake, assembly, and delivery. This position would be a great opportunity for someone looking for experience in more than one business function.

Essential Functions - include the following. Other duties may be assigned.

  • Provides technical and administrative support to the Tax & Accounting Department.
  • Updates the project management software program as needed.
  • Assist with tax and accounting intake as assigned.
  • Assists with project assignments.
  • Follows up with staff & clients on any information needed, monitoring responses, and updating projects.
  • Organizes and maintains files in various management information systems (e.g. Salesforce, Liscio)
  • Scan paperwork when needed.
  • Prepares folders and envelopes for all types of projects as required.
  • Performs scheduling of appointments and answers telephones.
  • Prepares and sends various correspondences as needed.
  • Adheres to firm policies and procedures and maintains the highest level of professionalism on and off-site.
  • Replenishes office supplies as needed.
  • Back up receptionist as needed.

Supervisory Responsibility

This position has no supervisory responsibilities.

Work Environment

This job operates in a clerical office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, scanners, and filing cabinets.

Physical Demands

This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary.

Position Type and Expected Hours of Work

This is a full-time non-exempt temporary position. May be expected to work additional hours based on need.

  • Non-Tax Season: Monday through Friday: 9 a.m. – 5 p.m. (and after hours when necessary) and Saturday: 9 a.m. – 1 p.m.
  • Tax Season: (Second Monday in January (no later than January 9th) – First Monday in May): Monday through Friday: 8 a.m. – 6 p.m. (and after hours when necessary) and Saturday: 9 a.m. – 1 p.m.

Travel

Some travel may be required to customer locations as needed.

Required Education and Experience

  • High School Diploma
  • Minimum 2 years of clerical/customer service experience

Preferred Education and Experience

  • Associates Degree in Business/Office Technology or another relevant degree
