Position Summary

The PREPARES Administrative Specialist supports the overall mission and vision of Catholic Charities Serving Central Washington and the PREPARES Pregnancy and Parenting Support Program. The primary duties include the coordination of efforts on behalf of the overall program including: document management, reports for funders, developing and executing marketing and outreach to parish and community stakeholders, and ensuring program materials are current and disseminated. This position is responsible for processing of all volunteer registration and data collection and preparation for trainings and events.

Responsibilities:

Program office administration and data management

  • Point of contact for community partners and managing incoming PREPARES calls and requests
  • Manage conference room calendars
  • Manage agency vehicle calendars and coordination of vehicle maintenance with the agency fleet manager
  • Provide administrative support to Area Coordinators for programs deliverables
  • Order and receive program supplies
  • Developing mailings and prepare volunteers for trainings
  • Compile post training evaluations
  • Develop program forms and materials that support training and volunteer registrations

Outreach and Marketing

  • Develop, plan, and support communication for community awareness activities
  • Develop and edit flyers, outcome documents, PowerPoints newsletters, coordinating postings with Facebook and Flocknote to support regular communication with PREAPRES stakeholders
  • Develop regular communication streams to pastors and parishes
    Develop and implement strategies to recruit volunteers to be Family Companions and provide other services for PREPARES participants
  • Assist PREPARES Area Coordinators in the development of working relationships with pastoral offices and Catholic Charities programs that support PREPARES families

Job Requirements:

Physical Requirements:

This position normally requires the physical demands of standing, walking, bending, lifting or performing other work requiring moderate physical exertion, talking, and hearing on a regular basis to perform the job requirement. These physical demands are required up to 80% of the time.

Non-Physical Requirements:

Education

  • High School Diploma/GED required Administrative experience and volunteer leadership considered in lieu of degree
  • Associates degree or higher from an accredited college or university in Human Service field or administrative technical degree, preferred

Experience

  • Experience with administrative tasks leading volunteer projects

  • Desire to make a difference and walk the journey with pregnant and parenting mothers, fathers, and families of all faiths whom need support and are vulnerable
  • Ability to work collaboratively with volunteers, parishes and other service providers.
  • Willingness to have a flexible work schedule including weekends.
  • Embrace Catholic Social Teaching, as it relates to the responsibilities of this position
  • Proficiency with computer applications in Microsoft Office, Adobe, and Google docs
  • Strong skill for multi-tasking and organization
  • Ability to work independently utilizing sound judgment, and as part of a team
  • Ability to maintain good boundaries with high level of confidentiality
  • Excellent customer service skills
  • Ability to prioritize work and manage time effectively
  • Ability to maintain timely documentation and data entry into electronic databases

  • Bilingual (English/Spanish) - Required

Licensure, Registration, Certification

  • Valid Washington State drivers license and agency minimum required liability insurance
