Position Description

This position is a part-time, non-benefited position working 28 hours or less, Monday through Thursday, with flexible hours between 7:00 am and 6:00 pm.

The Administrative Specialist will support planning staff and provide administrative support to the Planning Director.

Position Functions

Essential Functions:
Under direct supervision of the Planning Director:

  • Scan and upload documents.
  • Organize files for ease of use.
  • Answer requests, write correspondence and prepare documents for meetings.
  • Assist in peer review of correspondence and other documents.
  • Prepare agendas for the Planning Commission and Board of Commission meetings.
  • Prepares Board packets for the Planning Commission Meetings and Board of Commission Meetings.
  • Takes minutes of the Planning Commission meetings.
  • Prepares legal notices for publication.
  • Audits vouchers for accuracy and compliance with County policies; inputs vouchers into County's financial system.
Additional Duties:
  • Performs bookkeeping duties of routine difficulty in preparing and processing financial records and reports.
  • Prepares and maintains office open and closed files.
  • Answers office phones and assists applicants.
  • Maintains the Planning Department's Fixed Assets Record.
  • Performs duties and tasks as assigned by the Planning Director.

Qualifications

Experience and/or Education Required:

  • Three years of clerical or administrative support experience or college or technical training in bookkeeping or clerical skills.
  • Demonstrated knowledge of computer and software applications.
  • Demonstrated ability to communicate effectively verbally and in writing.
  • Ability to operate standard office equipment and a computer with working knowledge of Microsoft Office programs.
Physical Requirements:
  • Must be able to frequently sit, walk, stand, bend, kneel, stoop, reach and lift, push or pull and manual dexterity is needed to type, write, use a calculator, and answer telephone.
  • Upper body strength is a requisite to lift/move a maximum of 20 lbs. unassisted; and lift/move a maximum of 50 lbs. with assistance.
  • Ability to communicate effectively orally and in writing.
  • The ability to talk and hear via the telephone and through face-to-face communication is needed.
  • Demonstrated ability to type a minimum of 45 words per minute.
