Administrative Services Manager

The Administrative Services Manager is responsible for providing general sales, marketing, and operational support for the Lighthouse Professional Staffing offices. This includes coordinating meetings across all brand functions, creating and sharing the required reports, as well as managing client VMS system requirements. The Administrative Services Managerwill collaborate with multiple internal departments, including Finance, IT, HR, and Compliance to confirm data integrity and provide timely resolutions to requests.

Essential Function:

Supervisory Responsibilities

Manages the administrative staff for Lighthouse Professional Services, responsible for providing administrative support to the Danvers, MA and Shelton, CT offices.

Duties and responsibilities include:

1. Manages Administrative Assistant, overseeing all support functions/activities and ensuring compliance with I9 reporting and state-mandated training programs.

2. Provides administrative support for sales leadership and sales team activities.

3. Provides administrative support for operational leadership and recruitment team activities.

4. Create, distribute, and update meeting agendas for daily/weekly job order meetings, weekly Sales team meetings and monthly Full team meetings. Ensure that all attendees provide or receive necessary documents (ex: reports/sales funnel) for review prior to the meeting.

5. Ensure the accuracy of and distribute multiple weekly, monthly, and quarterly reports, including headcount tracker, end-of-week summaries, weekly job lists, sales funnels, and leaderboards.

6. Completes expense reports and AMEX statement reconciliation for Sr. Vice President. Sends invoices to AP and approves expenses as needed.

7. Work with internal and external marketing teams to update the company website and social media pages, create brand collateral and promotional items, and client/candidate attraction campaigns to promote candidate engagement/growth and increase client/prospect brand awareness. Ensure marketing efforts serve to achieve immediate and long-term business goals, identifying and executing improvements for processes, content, and lead generation. Prepare marketing activity reports and metrics for measuring program success.

8. Provide new client contract support in collaboration with the Sales team and Compliance department.

9. Administer contractor candidate referral program, including tracking and payment.

10. Ensure timely renewal of the SAM.gov account

11. Act as point of contact for the LPS brand for the annual Clearly Rated Survey

12. Other duties as assigned.

Qualifications

· High School Diploma or GED required

· Proficient in MS Office Suite

· Capable of learning new software systems, including CRMs and ATS software as needed.

· Strong customer service skills with proven problem-solving ability.

· Ability to multi-task and work in a fast-paced environment.
