Administrative Office Assistant
Job Description
Hours: Monday- Friday - hours will vary

Supervisor: To be determined
Full-Time, 40 hours per week; non-exempt
Philadelphia FIGHT Community Health Centers is looking for a multitasker with excellent communications skills and a "can-do attitude" to work in our Administration Department. Candidates should be professional, polite, and attentive while also being accurate. They should always be prepared and responsive, willing to meet each challenge directly. The Administrative Assistant must be comfortable with computers and general office tasks and excel at verbal and written communication. Most importantly, administrative assistants should have a genuine desire to meet the needs of others.
MAJOR RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:
- Provides administrative support to ensure efficient operation of the office
- Sorts and distributes incoming mail
- Ensures special packages (certified mail, UPS, FedEx) are metered correctly for prompt delivery to avoid returns
- Signs for delivered packages and distributes them to appropriate recipients
- Handles business correspondence
- Assist with mass mailings
- Photocopies, scans, and files documents onto the network and in filing cabinets
- Maintains stock of supplies by anticipating work requirements, ordering supplies, and distributing supplies where necessary
- Send and receive messages and documents using the fax machine
- Assist with large print jobs
- Help organize and maintain common office areas
- Occasionally covers reception area phone duties.
Office Assistant Skills and Qualifications:
- Associate Degree is preferred, High School Diploma or GED is required
- Previous experience in a related field preferred
- Self-driven; excellent customer care skills
- Exceptional communication skills
- Ability to maintain a strict level of confidence
- Knowledge of appropriate software including Microsoft Word, Excel, Outlook, PowerPoint, and Adobe Acrobat

Physical Demands
Occasional lifting of 10-20 lbs. and pushing of 5-20 lbs.
Sitting approximately 80% of the time

Introductory period is three (3) months. Performance of other tasks may be assigned on an as-needed basis.
