Introduction

The Prince William County (PWC) Department of Fire and Rescue Training Center is seeking a motivated, enthusiastic team-player to complement our senior leadership team as an Administrative Coordinator. This position will be located in Nokesville, VA at PWC’s beautiful Public Service Training Center (PSTC) which is the hub of all public service training in the county. The Administrative Coordinator maintains the day-to-day administrative services to support staff and students within the Fire and Rescue System Academy where new employees receive Fire and EMT certifications and tenured employees receive continuing education courses as well as the opportunity to attend PWC Fire and Rescue System’s accredited paramedic class and numerous other VDFP certifications.

ABOUT THIS ROLE: As an Administrative Coordinator you will:


  • Establish and maintain electronic filing systems and student records for 1200 members.
  • Coordinate purchasing, ordering, and supply maintenance.
  • Arrange complex scheduling involving multiple parties, independently makes and cancels meetings depending on the subject and attendees.
  • Collect information and prepare a variety of customized reports in support of department.
  • Prepare meeting minutes, reports, and budgetary materials.
  • Implement county or departmental policies, procedures, and service standards in conjunction with management.
  • Act as the liaison between the training staff, other county offices, and external agencies.
  • Direct and oversee direct reports to include prioritizing and assigning work; conducting performance evaluations; ensuring that employees follow policies and procedures. Evaluates employees' job performance and conformance to regulations and recommends appropriate personnel action.
  • Provide guidance, information or directs requests from the public or employees in handling complex problems or in resolving escalated complaints or disputes.
  • Act as Prince William County Fire and Rescue School Certifying Official (SCO) with the Department of Veterans Affairs; Assist students receiving VA education benefits.
  • Perform other duties of a similar nature or level.

MINIMUM EDUCATION, TRAINING AND EXPERIENCE REQUIREMENTS
High school diploma or G.E.D. and 3 years of related experience.

P REFERENCES: The successful candidate will have:
  • 1-2 years’ experience in administration or higher education administration
  • 2+ years’ experience as a supervisor
  • Bachelor’s Degree preferable
  • Experience working in an educational setting
  • Strong technical writing ability
  • Strong communication skills

SCHEDULE REQUIREMENTS: This is a non-exempt 37.5 hour per week, fulltime position Monday - Friday with normal working hours between 8am – 4:30pm.

SPECIAL REQUIREMENTS:
Fire & Rescue Requirement: Effective October 2012, mandated by the Virginia State Board of Health 12VAC5-31-540, VA EMS Regulations require a criminal background check conducted by the Central Crime Records Exchange and the National Crime Information Center via Virginia State Police; and a driving record transcript from the individual’s state Department of Motor Vehicles.

ENTRY SALARY RANGE: $25.88 - $38.82 hourly
