Administrative Clerk handles duties relating to the Victim/Witness Services Program by performing a variety of clerical functions including reception, record keeping, client contact and generation of form letters. This is a full-time position working in-person, Monday-Friday 8:00am-4:30pm.

Essential Job Functions

Acts as the main receptionist for the Victim/Witness Services Program in the District Attorney's Office and is the back-up receptionist for the District Attorney's Office. Answers multi-line phone and refers calls, waits on counter/directs walk-ins, and takes messages.

Prepares and mails form letters using law enforcement and word processing software.

Performs data entry using various software.

Receipts money and handles a cash drawer.

Provides assistance with witness coordination/notification and cancelation/scheduling witness appointments.

Assists the Victim/Witness Program and District Attorney's Office with other clerical tasks as required.

Uses connected multi-function printing device and fax machine.

Maintains confidentiality of work-related information.

Knowledge, Skills and Abilities

  • Knowledge of up-to-date office methods and procedures.
  • Knowledge of business English, grammar, punctuation and spelling.
  • Ability to perform varied clerical tasks accurately.
  • Ability to complete work timely in spite of interruptions and multiple, changing priorities.
  • Ability to keep a variety of records.
  • Ability to work closely and cooperatively with other office staff.
  • Ability to relate effectively to the general public and persons of various socio-economic backgrounds.
  • Ability to relate compassionately and effectively to victims of crimes.
  • Ability to give instructions to the public in a clear and concise manner.

Training, Experience and Other Requirements

  • Graduation from an accredited high school, or GED. Strong preference for advanced clerical training at a technical college.
  • One year of general office experience with demonstrated competency using personal computers for word processing and data entry.
  • Good organizational skills, ability to multi-task, excellent telephone voice and interpersonal skills, a proven track record of dealing with the general public in a courteous manner.
  • Excellent attendance and punctuality record.
  • Must pass criminal record background check.
  • Preference for persons with working knowledge of court proceedings, criminal justice system and the judicial process.
