Position: Administrative Assistant – Wastewater

Salary: Grade C-1 $22.21 - $26.54

Hours: 35 hours a week: M, W, Th 8a-430p, T 8a – 6p, F 8a – 1130a (additional night and weekend hours as needed)

Specific Departmental Duties Wastewater / Sewer
Initiates the lien release process from start to finish and goes to the Plymouth Registry of Deeds to release the liens.

Researches betterments, adjustments and billings making recommendations to the Commissioners.

Responsible for the septic billing process, from billing to collection.

Receives and directs all mail, plans, applications, etc. for the department.

Assist applicants in filling out various types of application forms; maintains calendar for required action by Board.

Performs data entry work and inputs various departmental information into computer systems; updates data; prepares reports and prints documents as directed.

Maintains filing system; photocopies paperwork plans and distributes to appropriate sources and town departments; coordinates activities with other departments and agencies as needed.

Logs departmental information into various books.

Schedules appointments for the Board; schedules Public Hearings and advertises them in the appropriate publication in a timely manner; maintains standing agenda for applicable Board meetings and provides copies to town departments, the press, and the general public.

Assists department head and provides administrative support.

May be required to order departmental supplies as requested.

Performs numerous other clerical and secretarial duties as directed.

Assists with special projects and performs similar or related duties as required or as the situation dictates.

Highly skilled administrative work in supporting the operations; May perform general financial and administrative processing activities; all other related work as required.

Recommended Minimum Qualifications:

Education and Experience: High school diploma or equivalent and additional course work in business, office management or related field; three years of progressively responsible experience; or any equivalent combination of education and experience.

Experience in dealing with the public, department regulations, and a college degree in a related field and or department certifications / licenses strongly preferred.

Knowledge, Ability and Skill:

Knowledge: Basic knowledge of local by-laws and state laws regulating department activity. Considerable knowledge of the principles of office management to ensure a smooth flow of support services. Considerable knowledge of account maintenance practices. Considerable knowledge of department terminology, business

English, grammar, punctuation, and spelling. Working knowledge of office procedures and machines. Thorough knowledge and understanding of computer operations, and of department-related software, including, but not limited to Excel, Word, PowerPoint, website design, CAMA system, and maintenance GIS working knowledge highly preferred.

Ability: Ability to maintain, manage and organize complex records. Ability to deal appropriately with employees, government officials and the general public. Ability to organize time, work independently and accomplish task despite frequent interruptions. Ability to pay attention to detail. Ability to prioritize many tasks and meet deadlines. Ability to perform many responsibilities independently. Current MA Driver’s license in good standing and access to their own reliable automobile.

Skill: Skill in word processing and spreadsheet applications. Good organizational skills. Excellent typing skills, note taking, dictation, and other computer applications including Microsoft Office software, webpage maintenance, etc. Must be reliable and dependable with accurate workload completion and management, as well as attendance. Excellent communications skills. Skill in the operation of all the above listed tools and equipment.
