Job Title: Administrative Assistant

Reports to: Food For Thought Operations Manager

Compensation: Full-Time / Non-Exempt / Hourly

Location: Traverse City, MI


The Administrative Assistant is the backbone to the Food For Thought office team. This person will perform daily entry of sales orders, customer service and follow-up, overall office team suppor and warehouse support. The Administrative Assistant wears many hats and should possess strong attention to detail, the ability to learn and navigate technology, and desire to interact with customers but also work independently on daily administrative tasks and projects.


Duties/Responsibilities:


  • Assist with basic office management and administrative details for the business; answer phones, manage mail, maintain filing, stock office supplies, etc.
  • Coordinate sample orders and shipments.
  • Monitor and respond to all voicemail and 3rd Party eCommerce messages including providing answers on order availability, order variances, etc.
  • Communicate with Product Development & Marketing Content Specialist when to out of stock/discontinue/delete/ items on sale for Foodforthought.net.
  • Update Faire and Mable platforms with new products as necessary and maintain OOS status.
  • Utilize software programs (QuickBooks Fishbowl) to track data and prepare Key Performance Indicators; prepare reports as needed; perform analysis to support business initiatives.
  • Maintain Terms & Conditions paperwork for wholesale, distributor, and RTL customers.
  • Create new customer accounts in Fishbowl.
  • Investigate and rectify customer (wholesale, distributor, eCommerce) issues that come in via phone or email - wrong product shipped, missing jar, popped lid, etc.
  • Enter all customer concerns/complaints into customer communication log.
  • New Wholesale customer onboarding.
    • First point of contact with new customers; initial email and/or phone call, answering any questions, provide documents (price list, sell sheets), learn about their business in order to recommend product, and encourage wholesale customers to transact via Faire.com
    • Send out paperwork for signature (terms and conditions, CC auth, credit app, new customer information)
    • Maintain new customer files with all necessary documentation
  • Main point of contact for all wholesale, distributor, and RTL customers.
  • Maintain and update price lists for all sales channels (pricing changes provided by Operations Manager or Managing Director).


KNOWLEDGE, SKILLS AND POSITION REQUIREMENTS

  • College Degree or commensurate experience preferred.
  • Good communication skills, with the ability to communicate tactfully and diplomatically, and the desire to function collaboratively with other teams and organizations.
  • Ability to learn and navigate multiple technology platforms and programs
  • Demonstrated ability to problem solve, think critically, and improve processes.
  • Ability to handle multiple forms of communication (e-mail, phones, Microsoft Teams) and to stay organized with multiple channels of communication.

PHYSICAL DEMANDS / WORK ENVIRONMENT

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

  • Must be able to perform all production physical job requirements including, but not limited to lifting up to 60 pounds, bending over, repeated hand and arm movements, pay attention to small details (i.e., inspecting glass jars for cracks, etc.), and working in a variable temperature and humid environment.
  • Ability to stand for extended periods of time and to react and move quickly.
  • Ability to follow basic food safety, sanitation, and personal hygiene practices; including being able to wear food gloves, glasses, and hair/beard nets as needed.
  • In good health and free of any blood-borne pathogens transmissible by food.
  • Not sensitive to standard cleaning and sanitizing chemicals (i.e., Bleach).
