Location: Has to be in the NYC office at least twice a week. Some weeks can be more flexible, and some weeks may need to be there the whole time if there are important meetings/ events. Need to go to the Princeton office twice a month when the leadership team is there (the company pays for transportation)

Job Description:
This is a support position responsible for managing multiple aspects for the Experience Department Leadership Team – a group of senior leaders and executives spearheading *** Experience.

Location: New York City (and once or twice a month in Princeton)

Key Responsibilities/Accountabilities:

Responsibilities: phones, scheduling, correspondence, extensive travel planning, expenses, organizing work flow throughout the office, and ad hoc projects. Ensure that proper preparation and materials and files are available for each day's meetings and events. Schedule meetings at *** Princeton, New York and worldwide offices, and all offsite meetings that the executive attends such as meetings with customers, information providers, vendors and consultants. Plan and coordinate global travel, arrange flights, hotel and car service reservations. Understand the team's goals and objectives in order to effectively anticipate deliverables and follow up when necessary.

Essential Duties and responsibilities:

Performs administrative duties required to support management staff and ongoing operations.

Setup meetings as required with the staff and clients; managing multiple calendars. Communicate schedule changes to staff as needed.

Schedule meetings at *** Princeton, New York and worldwide offices, and all offsite meetings that the executive attends such as meetings with customers, information providers, vendors and consultants.

Ensure that proper preparation and materials and files are available for each day's meetings and events.

Arrange extensive domestic and international travel, hotel, visas and cars.

Help coordinate and setup department-wide events.

Manage and file expenses for multiple managers.

Understand the team's goals and objectives in order to effectively anticipate deliverables and follow up when necessary.

Performs administrative duties required to support management staff and ongoing operations.

Performs other administrative activities as directed.

Requirements:

This position requires very strong organizational and communication skills.

Must be comfortable and confident to advise Executive leadership team.

Must be a team player with a proactive, positive can do attitude and a strong work ethic.

Ability to multi-task and work well under pressure and in a fast-paced environment.

An energetic, enthusiastic, team player with the desire to grow both personally and professionally.

Ability to use or willingness to learn the current processes in place as they relate to Experience.

General office and clerical skills, data compilation and entry, filing, attention to detail and follow-through.

Salary: $25.30 - $27.51 per hour
