The Administrative Assistant IV position, under minimal guidance, provides administrative support for one or more managers and/or a department. In addition to word processing, filing, scheduling, and calendar management, performs duties such as budget management, planning, and coordination of meetings and events, obtaining supplies, coordinating mailings or meeting materials, and leading or contributing to special projects. Answers non-routine correspondence and assembles highly confidential and sensitive information. Interacts with a diverse group of high-profile external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize, and organize diversified workload, and recommends changes in office practices or procedures.
What you will do:
  • Schedules and organizes complex activities such as meetings, events, travel, conferences, and department activities for designated individuals. Negotiates and manages vendor relationships. Is accountable for venue selections, logistics, and communications.
  • Creates, develops, and edits visual presentations for designated individuals. Crafts general correspondences, memos, charts, tables, graphs, business plans, etc. Proofreads. communications for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
  • Establishes, develops, maintains and updates filing system (electronic or paper-based) for designee(s) and/or department. Retrieves information from files when needed. Establishes, develops, maintains, and updates library of trade journals and magazines.
  • Organizes and prioritizes large volumes of information and calls.
  • Sorts and opens mail for designated individuals and/or department. Independently crafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information.
  • Answers phones for designated individuals and/or department. Takes messages or fields/answers all routine and non-routine questions. Works in cooperation with and may direct other assistants to cover administrative needs. Provides back-up and support for the EMG as needed.
  • Acts as a liaison with other departments and outside agencies, including high-level staff such as CEOs, presidents, senior vice presidents and chiefs. Handles highly confidential, sensitive, and proprietary information and interprets and explains policies when necessary.
  • Creates and maintains logs or databases, tracking, auditing, analyzing, and reporting data as needed; independently researches and responds to a wide variety of information requests; prepares and analyzes trend and status reports.
  • Serves as designee and/or has access, editing and approval rights for systems which may include Outlook (email and calendar), budget and compensation tools, human resources information system transactions, etc.
  • Works independently and within a team on special nonrecurring and ongoing projects, which could include but not limited to department space planning or re-stack of area, licensure tracking, newsletter creation, goal setting and evidence of completion accumulation, board mailings, etc.; coordinates and/or contributes to large, complex special projects which may include planning and coordinating multiple presentations, disseminating information, coordinating direct mailings, creating brochures.
  • Develops and manages departmental and/or cost center budget; responsible for organizing and leading regular departmental budget meetings; has delegated authority for negotiation, payment, and approval of divisional / department expenses.
  • Perform other duties as assigned.
What you will bring:
  • Five (5) years of administrative experience providing administrative support to senior level managers, executives, or groups of managers (Required).

The pay for this role will vary based on a range of factors including, but not limited to, a candidate’s geographic location, market conditions, and specific skills and experience.
National Salary Range:
$50,400.00 - $80,500.00
National Plus Salary Range:
$56,900.00 - $91,000.00
  • National Plus salary range is used in higher cost of labor markets including Western Washington and Alaska.
