Job Purpose:
Under general supervision of the Department supervisor and/or Account Executive, the Administrative Assistant provides office services by implementing administrative systems, procedures, and policies, and monitoring administrative projects for Trust Funds.

Job Duties:
  • Performs a variety of moderately difficult to complex secretarial duties
  • Formats, suggests content edits, and types a variety of documents using word processing, spreadsheets, and other software applications.
  • Composes routine correspondence; initiates required administrative reports including distribution of Trust meeting notices, agenda, memos and letters taken from meeting minutes.
  • Transcribes dictation of a complex and confidential nature including Trust minutes.
  • Proofreads documents for content and typographical errors.
  • Routinely makes updates to web text
  • Organizes and maintains Trust filing system.
  • Screens and directs incoming calls and inquires.
  • Assists in prioritizing and distributing administrative mail.
  • Coordinates the scheduling of meetings and travel arrangements including reservations.
  • May review printer proof copies of benefit booklets, brochures and Trust Agreements as assigned.
  • Perform other duties as assigned
Minimum qualifications:
  • 1-2 years within an Administrative Assistant I Classification within WPAS or
4 years of office work with 2 years working within a corporate environment working collaboratively with executives and 3rd party clients.

  • Working knowledge of basic office equipment and entire Microsoft Suite
  • Demonstrated ability to keep calm and positive within all communications.
  • Demonstrated ability to establish and maintain effective working relationships with internal staff and external clients.
  • Proven ability to accurately and timely review and accounting information and documentation.
  • Utilize computer and phone systems to be able to effectively perform the essential functions of the position
Preferred qualification:
  • BA in Business or related field
  • 3-4 years of experience in a TPA environment
