Summary of Responsibilities:

The Administrative Assistant II position performs specialized administrative work in support of the Firm. The work is assistive in nature and focuses on extending the capabilities of professional or managerial positions. The Administrative Assistant II will have a high energy level; be adaptable to changes; progress professionally; provide solutions; conduct themselves in an ethical, trustworthy manner; consistently increase skills and knowledge; understand and relate to others using excellent customer service skills; and be dedicated to the Firm and its success.

Duties & Responsibilities:

  • Heavy scheduling of appointments and maintenance of calendars; coordinate meetings and meeting rooms
  • Monitor monthly due dates of tax returns; maintain accurate status of same.
  • Process tax returns and extensions
  • Liaison between partners, staff and clients
  • Use computer and software applications to accurately type, enter data, retrieve data, create documents and send emails
  • Provide light application hardware/software assistance
  • Operate a variety of standard office machines, including a personal computer and a variety of computer software, phone, fax, calculator and copier/scanner

Requirements:

  • High School diploma required
  • Minimum two years of experience as an administrative assistant
  • Technology savvy with a strong knowledge in working with Microsoft Office, type 40 WPM
  • Able to multi-task and prioritize with the ability to meet deadlines
  • Excellent written and verbal communication skills
  • Strong organizational skills with a great attention to detail
  • People skills. Highly skilled in working with a team, professional, courteous, receptive to guidance.
  • High energy level, comfortable performing multifaceted projects in conjunction with normal activities
  • Strong interpersonal skills with a customer service focus
  • Self-motivated, continual search for excellence in carrying out all responsibilities with or without supervision.

Working Conditions:

Infrequent overtime required throughout the year. Heavy overtime required from January to April 15, may be in excess of 50 hours per week.
