Position Overview

The Division of Rehabilitation Services is seeking to hire an Administrative Assistant to provide administrative support to the Engagement and Support Services Bureau Chief. The Administrative Assistant reviews and analyzes confidential and general inquiries received from internal and external sources, coordinates communications, and day to day activities and special projects for the Bureau Chief. The successful candidate shall demonstrate exemplary organizational and communication skills, be a self-starter, and be able to carry out assignments with limited oversight.

Job Responsibilities

  • Serves as administrative support to the Bureau of Engagement and Support Services Bureau Chief.
  • Coordinates day to day activities of the Bureau.
  • Coordinates special projects of a complex and confidential nature involving office operations.
  • Performs administrative functions for the Bureau Chief.
  • Performs other duties as assigned or required which are reasonably with the scope of duties enumerated above.

Minimum Qualifications

1. Requires knowledge, skill, and mental development equivalent to completion of four (4) years of college, preferably with courses in public or business administration.
2. Requires one (1) year of professional experience in a public or private organization, or completion of an agency approved professional management training program.

Preferred Qualifications

1. Two (2) years of professional experience effectively communicating in written and oral formats and coordinating the day-to-day activities that lead to greater efficiencies and effectiveness within a division or bureau.
2. Two (2) years of professional experience working for a public or private organization, in a social or human services field, maintaining confidentiality and handling sensitive information with professionalism.
3. One (1) year of professional experience meeting deadlines with strong attention to detail while multi-tasking multiple projects.
4. One (1) year of professional experience developing and maintaining professional working relationships with staff, customers, vendors and public and encouraging respect for those of other cultures and backgrounds.
5. One (1) year of professional experience conducting special projects which include evaluating existing and proposed programs, policies, and procedures for a public or private organization.
6. One (1) year of experience researching issues and concerns, preparing reports and presentations, and developing correspondence to staff, customers, public, and/or internal and external stakeholders.
