Overview: Staffing Pros, a division of VETS Inc., is recruiting for a full-time Administrative Assistant in Sterling (Dulles), VA.

Responsibilities: The Administrative Assistant is responsible for providing operational administration and project-based support for its headquarters teams. The ideal candidate will be a proactive collaborator/problem solver with a great sense of urgency in achieving optimal and timely results. The candidate must possess excellent communication skills and professionalism and have experience working in an office environment performing a wide range of administrative duties.

  • Support the efficient execution of daily office administration and promote seamless coordination between the various corporate resources.
  • Be responsible for timely and accurate meeting(s) scheduling/coordination, perform administrative task follow-up and status updates for Executive Team members’ management task(s) completion, and provide logistics for tracking the execution of assigned corporate projects.
  • Represent the Leadership Team with excellence in every interaction and be skilled in the handling of sensitive and confidential business transactions and the protection of employee privacy.
  • Support meetings in the office to include assisting in preparation of materials and coordinating logistics (e.g. location, food, supplies), capturing actions, and conducting follow-up.
  • Greet and sign-in visitors ensuring they comply with security protocols and receive attention and care throughout their stay.
  • Issue and maintain office access codes and badges to ensure a safe and secure work environment.
  • Manage incoming and outgoing mail and deliveries for the office and accurately maintain filing systems, contact databases, and employee lists.
  • Ensure the office, conference rooms (including white boards and IT equipment) kitchen spaces are maintained in an efficient and orderly manner daily and that supplies are procured at competitive prices with proper lead times.
  • Order business cards, plaques, awards, and other materials as required to support cultural initiatives.
  • Proficiently utilize software collaboration and efficiency tools (including MS Office 365 and Asana) to track assignments, updates, and completion/suspense actions for team projects.
  • Perform business errands for the office, as required (e.g. print jobs, supplies, FedEx).
  • Research, coordinate, and support the full-cycle execution of corporate event planning to include marketing and charity events, holiday parties, and team building activities.

Qualifications:

  • College degree or equivalent.
  • Five years of progressive office administration experience.
  • Three years of event planning and logistics experience.
  • Excellent written and verbal communication skills.
  • Strong time-management skills and multitasking abilities.
  • Demonstrated proficiency using the Microsoft 365 Office Suite (Word, Excel, PowerPoint, Outlook, OneNote, and SharePoint) including aptitude for learning new software efficiency tools.
  • Strong commitment to professionalism and confidentiality.

Preferred Qualifications:

  • Experience managing budgets and expenses.
  • Experience developing internal processes and efficient filing systems.
  • Knowledge and prior utilization of Asana collaboration and efficiency software.
