Spectrum Generations, Central Maine’s Area Agency on Aging, is seeking an Administrative Assistant/Receptionist to join their passionate and mission-driven team at our Muskie Community center in Waterville, Maine. PURPOSE
The purpose of this position is to provide administrative and clerical duties to support Community Center programs and activities, providing a professional, consumer focused, welcome reception to callers and visitors. This position reports directly to the Regional Center Director.

This position performs some or all of the duties included in the Administrative Assistant/Receptionist position description.

Additional duties include:

  • Enters congregate dining numbers into the WellSky database
  • Requests Facilities assistance utilizing the FMX system
  • Oversees and reconciles petty cash
  • Coordinates and collects payments for Center activities, Center, Catering, and Nutrition fundraising
  • Supervises, trains, and orientates volunteer receptionists
  • Creates credit card settlement reports, completes deposit slips, banking, and post office runs
  • Coordinates and oversees scheduling of appointments for Medicare 101 and Open Enrollment
  • Assists in the creations, printing, and coordination of disbursement of Center newsletters
  • Participates in Municipal Funding; call towns, set up petitions, updates spreadsheets and prepares volunteer packages to attend town meetings.
  • Creates donation thank you letters
  • Creates month-end reports for in-kind donations
  • Oversees A4TD program; interviewing, training, sign-off of weekly timesheets
  • Completes appropriate financial coding for invoices generated by program staff
  • Cash-out and reconciles congregate dining and catering fees
  • Completes in-house transfers for Center programs
  • Tracks revenues and completes receivable reporting for Catering
  • Coordinates copier/printer maintenance with PCCI
  • Travel to other centers required as needed

Education / Training / Experience: Knowledge Required by the Position
1. High School Degree or equivalent.
2. Two or more years of Administrative Assistant experience
3. One of more years of QuickBooks experience

Working Conditions and Physical Demands:

Normal office environment in a modern facility, with excellent working conditions. Light physical demands including standing, walking, some lifting of 25 lbs or less, prolonged sitting, bending, working at a computer for long periods of time. Some early morning, evening and weekend work hours may be required.
