The Disaster Services Administrative Assistant is a professional who has values and beliefs that are consistent with those of Santiam Hospital.

WORK AREA: Sublimity Disaster Services office and applicable offsite disaster locations

Responsibilities::

Provide administrative assistance indicated to support Santiam Disaster Services (SDS) operations and persons affected by disaster incidents that impact the Hospital catchment area (“clients”).

  • Assist Disaster Case Managers (DCMs) and DCM clients with compilation of client information required for documentation related to client intake, social service program enrollment, and financial assistance application.
  • Coordinate with DCMs and DCM clients to identify client housing barriers, needs, preferences, and goals.
  • Acquire and maintain knowledge about area affordable housing availability, housing market trends, and related resources, and use such knowledge to inform DCMs about possible opportunities for rehousing and to develop, in association with DCMs, individualized rehousing plans for DCM clients.
  • Use electronic means (e.g. Smartsheet or VisionLink applications) to appropriately document client information, update information, perform indicated case file audits, review audits for pertinent corrective action, and document record of client closure letter or survey distribution.
  • Assemble documentation required to confirm client eligibility for Community Development Block Grant application or for Wildfire Recovery and Resilience Account allocation to meet client needs requests that have been approved by the Long Term Recovery Group (LTRG) Unmet Needs Committee.
  • Deliver indicated payments to applicable vendors.
  • Submit completed client case files to Integrated Health and Outreach Director, and upon Director closure of such files, distribute closure letters and client experience and satisfaction surveys to applicable clients.
  • In collaboration with Director, research and analyze potential opportunities to fund Integrated Health and Outreach Department.
  • Prioritize own orderliness, and consistently use a systematic approach to information management.
  • Comply with Hospital policy and procedure.
  • Comply with applicable regulations and patient care standards, including standards that relate to patient health information confidentiality.
  • Educate applicable Hospital staff members about pertinent policy, procedure, regulations, and patient care standards. At any time, this job description is subject to change according to Hospital administrative discretion.
  • Promptly and appropriately manage incoming SDS electronic mail and telephone calls.
  • Initiate and support effective relationships with the Mid-Willamette Valley Community Action Agency, LTRG, area property owners, and other pertinent community and external entities, and work with such entities to support indicated client rehousing.
  • Attend and actively participate in pertinent meetings held by community partners or recovery groups.
  • Coordinate Department service provision with that of other Hospital Departments.
  • Know chains of command for the Department and Hospital.
  • Serve as a Hospital and SDS representative in interaction with the community and other external entities.

Perform other duties assigned by Director.

Qualification/Education/Requirements::

EDUCATION AND EXPERIENCE

  • knowledge of principles that relate to disaster relief, federal social services programs, and rehousing in the disaster setting
  • aptitude in verbal and written communication
  • possession of United States proof of citizenship or right to work in the United States
  • possession of a driver license or analogous identification
  • willingness to participate in Hospital orientation and educational in-service

PHYSICAL REQUIREMENTS

  • ability to cope with occasional emotional stress
  • ability to perform minimally demanding physical tasks, including walking, sitting, standing, lifting, squatting, bending, twisting, crawling, kneeling, and climbing
  • ability to occasionally lift loads of up to fifty pounds
  • ability to clearly hear telephone conversation
  • possession of visual acuity and color perception adequate to use computer monitors and other equipment that is required to perform job-related tasks
