Administrative Assistant
Reports to: Project Director * Salary (Grade): $12.05 (G6-E)

Status: Reg. Full-Time (Non-Exempt) Location: Higher Education Building, Winnebago, NE Job Purpose & Position Overview: Provide support to the Step Up staff in the overall planning, administration and daily operations of the Winnebago Career and Technical Education (CTE) project. Will assist in program operations by maintaining expenditures, cuff accounts, data entry and assist in Vocational Training as needed to ensure all areas are in compliance with the Winnebago CTE Project grant and the Department of Education.
Specific Job Duties/Responsibilities:
  • Demonstrates the Winnebago Tribe’s core mission, vision, and values.
  • Implements the organization and administration of the Winnebago CTE project and performs all collateral functions and activities as required.
  • Will assist the Project Director in day to day operations of the program and must be able to set priorities, problem-solve and sustain project momentum.
  • Will support the Project Director and case manager by assisting with pulling aggregate data supplied by the case manager for measuring project success.
  • Collaborate with the contracted project evaluator to establish project data collections protocols.
  • Assists in establishing preference provisions for Vocational training within the service area according to the Winnebago CTE project.
  • Will assist the project director and case manager in maintaining daily and monthly schedules of activities, meetings, trainings etc.
  • Receive all incoming calls and direct calls accordingly and keep daily log of all contacts.
  • Will greet the general public and provide information concerning the Winnebago CTE project and answers questions form the public concerning operational procedures regarding vocational training, referrals and recruitment.
  • Will assist the Project Director in submitting all required reports to the Department of Education and ensure all documents are submitted in a timely manner and within the required time frame.
  • Must be available to travel.

Required Qualifications/Skills:
  • Must have an Associate’s degree in Business Administration, Public Administration or Human Services or five (5) years’ experience in “Tribal and/or Federal program management and administration”.
  • Must have considerable knowledge of the working with Federal and State agencies.
  • Knowledge of GPRA reporting requirements for the Federal Agencies.
  • Proficient in the use of Microsoft Office software is required and experience in word processing and data entry is highly desirable.
  • Must be timely, dependable, courteous, and maintain a business like appearance.
  • Must possess excellent organizational and communication skills.
  • Follow instructions and observe the confidentiality of all tribal programs.
  • Knowledge of Administrative duties that include budget management and correspondence with education institutions regarding vocational training.
  • Must be self-motivated, able to work effectively with minimal direct supervision and possess a customer service focus.
  • Must be team player and willing to complete other duties as assigned.
  • Must have a valid driver’s license and be insurable under the Winnebago Tribe.

Physical Requirements:
  • Normal to light office work which includes the ability to lift up to 10 lbs.
  • Regularly required to walk, stand, and sit for extended periods of time and use hands to operate computer keyboard, phone, and various office equipment.
  • While performing daily duties, the employee is regularly required to talk and listen.

  • Ability to work as part of a team and/or with minimal to no supervision.
Language Requirements:
  • Must possess the ability to read, write, and speak the English language fluently.
  • Must be able to continually and effectively employ professional verbal and written communications skills.
Certificates, Licenses & registrations:
  • All applicants will comply with 45 CFR 1301, Subpart D, Section 1301.31, C and D, which require all prospective employees to sign a declaration prior to employment regarding all arrests and convictions of child abuse or violent felonies and to comply with PL 101-630 and PL 101-637 regarding criminal records check.
