Position Overview:
Koniag Data Solutions, LLC currently has an opening for an Administrative Assistant. This position will be in Arlington, VA and will support TGS and our government customer. This opportunity offers the chance to work with some of the best and brightest minds in the Department of Defense and US Industry to develop, implement, and transition Artificial Intelligence (AI) capability across the Department.
Koniag Data Solutions, LLC is searching for an exceptionally talented Administrative Assistant to assist the Department of Defense Joint Artificial Intelligence Center (JAIC)’s Chief Digital and Artificial Intelligence Officer Implementation Team with administrative support to the respective Leaders, Technical Experts, and Team Members. This will include primarily clerical and administrative functions, including but not limited to, scheduling meetings and engagements; maintaining calendars; arranging travel; planning, coordinating, and facilitating meetings and events; managing supplies and equipment; preparing correspondences, reports, and presentations; preparing, managing, and coordinating taskers; and assisting the client managing projects. This position requires a person with impeccable multitasking abilities, superior professional demeanor, and the ability to accomplish a wide variety of day-to-day responsibilities that ensure program success.

Essential Functions, Responsibilities & Duties may include, but are not limited to:
  • Provides comprehensive administrative support services for daily operations across the Chief Digital and Artificial Intelligence Officer Implementation Team.
  • Performs clerical functions such as scheduling meetings and engagements; maintaining calendars; arranging travel; planning, coordinating, and facilitating meetings and events; managing supplies and equipment; preparing correspondences, reports, and presentations; preparing, managing, and coordinating taskers; and assisting the client managing projects.
  • Support engagements by making travel arrangements for foreign and domestic travel as well as arranging for local travel via government vehicles and for parking at local DoD Facilities.
  • Support the mission initiative team members in the preparation of deliverables, reports, briefings, and related products associated with the respective mission area.
  • Coordinates and communicates behalf of the Clients, including calls, responding to email and interfacing, with stakeholders or their staffs at all levels.
  • Taking notes in meeting and assisting with presentations

Work Experience, Knowledge, Skills & Abilities:
  • 5+ years of office administration; and 2+ years working in DoD
  • Must have experience supporting a Civil Servant grade GS-15 or higher, or Military Officer grade O-6 or higher. 2 years supporting a Flag Officer or SES preferred.
  • Experience providing a wide variety of the administrative support services, including but not limited to scheduling meetings and engagements; maintaining calendars; arranging travel; planning, coordinating, and facilitating meetings and events; managing supplies and equipment; preparing, managing, and coordinating taskers; and assisting the client managing projects
  • Experience supporting the developing of correspondences, presentations, reports, and other professional documents
  • Excellent communication skills, a high level of integrity, critical thinking, and leadership courage.
  • Ability document, track, report, and maintain an action item database from multiple sources.
  • Ability to use a tracking software to manage, update, and track staff actions.
  • Must be a self-starter that can recognize needs and act with little to no guidance.
  • Ability rapidly understand and apply new concepts.
  • Strong organizational and problem-solving skills with impeccable multi-tasking abilities.
  • Advanced MS Word skills; proficient PowerPoint, Excel, and Outlook application skills.

Working Environment & Conditions
This job operates in a professional office environment and has a noise level of mostly low to moderate. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. This position is primarily indoors, consistent with a standard office position and has a noise level of mostly low to moderate. The incumbent is required to stand; walk; sit; use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; talk and hear. The workload may require the incumbent to sit for extended periods of time. The incumbent must be able to read, do simple math calculations and withstand moderate amounts of stress. The incumbent must occasionally lift and/or move up to 25 lbs. Specific vision abilities required by the job include close vision, distance vision, color vision, depth perception, and the ability to adjust focus.
