Summary

This Assistant provides a wide variety of administrative support services. Performs office work directly related to property management and the general business operations of the associations.

The Assistant also provides exemplary service in a manner consistent with the values and mission of Worth Ross Management Company. Performs all responsibilities while demonstrating outstanding customer service skills. This includes working interdepartmentally, as well as, residents and vendors.

Duties and Responsibilities:

  • Possess excellent computer skills with Excel and Word.
  • Able to prepare written correspondence as needed.
  • Maintains a working knowledge of the Condominium Association Documents.
  • Assists residents with questions and concerns.
  • Updating homeowner accounts.
  • Inputs/Processes/Closes work orders as directed by Community Association Manager.
  • Collecting vendor bids as needed.
  • Inputs/Processes/Closes compliance violations as directed by Community Association Manager.
  • Scanning and uploading documents.
  • Assist in meeting preparation and scheduling as needed.
  • Maintains reservations of the community room(s) and service elevator(s) in accordance with the written guidelines.
  • Maintains office supplies within budgeted guidelines.
  • Set up and edit new and existing Residents on the Building Link system.
  • Open and close onsite office as requested.
  • Issue access control fobs / cards.
  • Other duties as assigned

General

  • On-call as directed by General Manager.
  • Answers the telephone promptly using proper telephone etiquette.
  • Maintains a professional manner at all times.
  • Maintains a neat, clean, organized and safe work environment.

Physical Demands:

Requires typing, grasping, writing, standing, sitting, walking, repetitive motions, visual acuity, hearing, writing, and excellent speaking ability.

Required Education and Experience:

Education: High school graduate or equivalent. Ability to read, speak, write, and understand the primary language(s) of the workplace.

Experience: Previous experience in a condominium, hotel or apartment management organization preferred. Experience with word processing and spreadsheet software.

Job Type: Full-time

Pay: Up to $52,000.00 per year
