Hiring Range


The University of California, Merced is required to provide a reasonable estimate of the compensation range for this role. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience. The budgeted salary or hourly range that the University reasonably expects to pay for this position is $24.16 or Step 1 of the CX Labor Agreement.


Job Closing Date


Remote/Hybrid eligibility: This position is mainly campus-based. This person will be required to work nights or weekends as department events may require.

About the Job


Under the direction of the Chief of Staff, Senior Advisor, the Administrative Assistant will be responsible for greeting external constituents, event support, equipment management, answering departmental phone calls and emails. The incumbent will also provide support to the executive support team across multiple areas and requires the ability to multi-task to effectively meet competing deadlines. May from time to time assist in financial services problems of moderate scope where analysis of situations or data requires a review of a variety of factors. Responsible for handling non-gift revenue, including event income. Assists in equipment management and inventory control.

Key Responsibilities:

  • Greets campus visitors and dignitaries, coordinates logistics for meetings, staff meetings, retreats and donor visits, including scheduling, preparing briefing information on the purpose and goals of the visit or meeting, handling logistics involving multiple parties. Determines special room and equipment needs. Responds to last minute donor requests and changes, such as additional guests or parking needs; reschedules with tact when cancellations arise. Answers and handles telephone calls for the department. Assists with special events, when needed, which may include nights and weekends.
  • Working with the Chief of Staff develops PowerPoint slides, presentations, and briefing material for the Vice Chancellor and other senior leaders. Prepares meeting minutes and reports for division meetings.
  • Inputs data and assists with ensuring that financial processing functions, including purchases, travel and entertainment expenses, are performed with accuracy and that daily operations run smoothly. This shall include follow-up with the CBS2 team in providing information to move purchasing, travel, and entertainment transactions forward for the Division.
  • Assists in equipment management and oversight of inventory control. Assists with a variety of administrative tasks including but not limited to placing office supply orders, tracking inventory, and submitting work orders such as with IT to resolve technology/phone issues.
  • Updates and maintains the division's calendars and other duties as assigned.

Qualifications


  • High school diploma and/or equivalent certification/experience/training (required).
  • Bachelor's degree (preferred); and
  • Three years of directly related experience: and
  • Valid CA driver's license (required)

Critical Knowledge and Competencies:

  • Working knowledge in administrative procedures and processes including word processing, spreadsheets, and database applications.
  • Must be proficient in use of Microsoft Office and common desktop/web applications.
  • Strong interpersonal skills, analytical skills, service orientation, active listening, critical thinking, attention to detail, ability to multi-task in a high-volume environment, organizational skills, effective verbal and written communication skills, sound judgment and decision-making.
  • Knowledge of the Oracle Financials system and ServiceNow platform for transaction processing and reporting. (Preferred)
