Job Summary Overview

The Administrative Assistant (AA) will serve as a resource for centralized tasks for multiple departments, handling a wide variety of administrative, and often confidential assignments. These assignments include, but are not limited to maintaining TriNet’s NYC office daily, visiting TriNet’s NJ office twice per month or as needed based on usage, and tasks based on unique guidelines for each department, such as distribution list management, purchasing, process documentation, event planning, etc.

NOTE: this is not a remote or hybrid position, this is specifically an office-based role

Essential Duties / Responsibilities

  • General administrative work: weekly distribution list management, purchasing within policy guidelines using a department Purchase Card, including expense validation, updating, and creating department process documentation within a central repository, event planning.
  • Act as point of contact for administrative professionals within the team in relation to various office visit protocols to ensure compliance with TriNet policies
  • Proactively manage outstanding action items to ensure responsiveness and follow through on commitments / asks
  • Provide back-up for other administrative professionals as needed
  • Interact extensively with the administrative professionals within the team as well as within other departments / organizations
  • Understand the business / departments you are supporting to independently prioritize tasks
  • POC for NYC and NJ offices (2 locations)
    • Maintain NYC office location daily and NJ twice per month, ensuring all resources are in good working order to make certain that colleagues can work effectively in these locations
    • Assist with coordinating onsite events including, but not limited to:
      • Company-wide meetings
      • Office / location specific events
      • Executive visits
    • Greet visitors (i.e. vendors, clients, interviewees, TriNet executives, etc.)
    • Receive, sort and route local office mail
    • Partner with building management for access to TriNet suite

Other projects and responsibilities may be added at the manager’s discretion

Job Requirements and Qualifications

Education:

Bachelor’s degree desired; or equivalent education and / or related work experience

Experience:

  • Minimum 2 years’ experience in a similar administrative support role

  • Leads with a customer service approach and highly organized manner
  • Sense of urgency to accomplish tasks, both assigned and self-discovered
  • Superb attention to detail
  • High level of discretionary judgment and confidentiality
  • Excellent verbal and written communication, as well as social skills
  • Proficient in Microsoft Office Suite including Teams, OneDrive and One Note
  • A demonstrated dedication to high professional ethical standards and a diverse workplace
  • Ability to communicate with colleagues at all levels of the organization
  • Ability to take the lead on special projects as assigned
  • Thrive in a fast-paced, high-pressure environment within a constantly evolving business while handling multiple priorities
  • Experience with event and meeting planning and coordination for various activities, including dinners and events.
  • Strong desire to commit to personal growth within the organization that includes showing a keen interest in how our business is run, and a thirst to learn every day
  • Experience working within a remote team environment a plus

COMPENSATION AND BENEFITS: The salary range for this role is $26.87 to $39.03. A candidate’s final salary offer will be based on the candidate’s skills, education, and experience.

A candidate’s compensation may also include bonuses consistent with TriNet’s corporate bonus plan.
