The Administrative Assistant III will be responsible for providing highly complex administrative support to various functional areas of the Company. The incumbent is also responsible for professionally and discretely managing a variety of projects and tasks requiring independent judgment, tact, diplomacy and confidentiality. The incumbent will engage with employees at all levels of the organization and with industry leaders, government officials and customers

This position will serve our IBC Technologies USA Inc, located in Lawnside, NJ

WHAT YOU’LL DO

  • Provides general business support to department and complete special projects and assignments by determining priorities, managing time, problem solving and monitoring progress.
  • Schedules and organizes meetings, travel, and conferences for department staff.
  • Creates, edits, and types correspondence, reports, bulletins, itineraries, invoices, proposals, and projects.
  • Researches, analyzes and interprets data from various sources. Prepares reports, as needed, including graphics, charts and spreadsheets. May collect, edit and compile reports for presentations.
  • Operates with a degree of autonomy and independently completes high quality work to meet established goals with little supervision.
  • Assists with the management of expenses. Processes complex expense reports.
  • Arranges for office services such as equipment and supplies.
  • Ensures that conference spaces are professionally maintained; performs general maintenance of the facility and office equipment.
  • Organizes and maintains paper and electronic files.

· Performs other duties as assigned

WHAT YOU NEED

· Technical/Business School Certificate or Diploma.

· Excellent communication skills, written and verbal, with attention to detail and accuracy.

· Solid computer skills and in-depth knowledge of relevant software such as MS Office Suite.

· Demonstrated ability to work well with others is a matrix team environment.

· Possesses competence, initiative and business acumen necessary to support the Executives and organization at the most effective level.

· Strong experience coordinating all aspects of international and domestic travel.

· Excellent communication, negotiation and interpersonal skills to ensure adequate communication is professional courteous, clear and concise.

· Exceptional interpersonal skills. Adept at building and sustaining influential work relationships within the organization and through our external partnerships.

· Effectively manages conflicting priorities, copes well under pressure, works well during time constraints.

· Proactively addresses issues, resolves problems, makes appropriate recommendations or proposes acceptable alternative solutions.

· Ability to handle confidential information in a discreet and professional manner.

· Consistently makes sound business decisions.

· Notary Public is a plus.
