Overview of Responsibilities:
  • Responsible for providing secretarial support at meetings as assigned. Support includes timely & accurate meeting agenda and materials preparation, mailing of meeting materials at least 7 days in advance of the meeting, minute taking/preparation/editing, meeting calendar management for attendees, meeting notices, and meeting preparation.
  • Tracks completion of departmental emergency management plans for subcommittee chiefs. Removes old plans from SharePoint. Provides weekly update to subcommittee chiefs on progress.
  • Manage SharePoint sites including Emergency Management, and Safety Representatives.
  • Assists Administrative team in setting up, tracking and recording throughout Emergency Codes, both drills and actual events.
  • Provides user management for HealthStream
  • Responsible for facilitating Indiana State Hospital Licensure annually, as well as periodic on-site surveys.
  • Coordinates DNV certification annually, provide ongoing support to Vice Presidents and Directors regarding changes to DNV standards, setting up team meetings, etc. Coordinates annual approval items for Medical Staff and the Governing Board.
  • Coordinates submission of the AHA Annual Survey.
  • Maintain records of all system licensure and accreditations, including off-site locations, as appropriate.
  • Make travel arrangements, booking conferences along with assessing and arranging travel needs such as flights, cars, hotels and restaurant reservations.
  • Provides direct administrative support for members of the Executive team.
Education/Experience:
Required - Associate Degree or requisite professional office experience
Preferred - Bachelor's Degree
Experience - Minimum of two years previous experience in a professional office setting
Schedule Details: Monday - Friday - 8:30 am to 5:00 pm What We Offer:
