The Administrative Assistant for the Kelberman Center is responsible to type and maintain correspondence, coordinate assigned clerical staff, as needed, attend Center meetings and take and disseminate minutes, maintain filing system, generate reports and spreadsheets, assist in program invoicing and collections, data entry for Center constituent databases as needed, process phone calls, assist in scheduling, route mail, requisition supplies, act as a program or department liaison, promote positive communications, and provide exceptional customer service.


ESSENTIAL RESPONSIBILITIES:

  • Generate and maintain correspondence including letters, memos, contracts, forms, reports, logs, spreadsheets, invoices, and charts as required by the program or department.
  • Perform administrative support by attending meetings, participating on committees and other activities as required.
  • Coordinate program or department office support function by scheduling meetings and trainings, including booking rooms, teleconference set-up, and preparation of materials.
  • Maintain filing system and Center databases as needed to keep current.
  • Process incoming telephone calls, refer to appropriate staff, take messages and respond to requests for information.
  • Assist in scheduling, which may include appointments, program or department trainings or meetings, travel arrangements, conference booking, and special events.
  • Record by date incoming mail, route, and distribute.
  • Research and requisition supplies and equipment, and verify delivery.
  • Special projects and other duties as assigned.
  • Establish a work environment that creates positive communication between supervisors and employees and assimilates new employees to the Center?s culture, values and mission.
  • Ensure compliance with all pertinent government and center regulations and operating standards.
