This position will sit on-site in Nashville, TN.

Key Responsibilities

  • Provide secretarial support to department personnel including typing, composing and proofreading correspondence, indexing and filing documents.
  • Power Point presentation development
  • Policy & Procedure development/revision
  • Ensures adequacy of office supplies and equipment.
  • Answers inquiries or refers callers/visitors to appropriate individuals.

Duties (included but not limited to)

  • Supports all departmental employees in the following areas:
  • Schedule/coordinates meetings, appointments.
  • Make Travel arrangements.
  • Submit expense reports for business expenditures
  • Typing and distribution of meeting minutes
  • Agenda, handout and presentation material development, copying and assembly
  • New member communication package assembly and distribution
  • Advisory board roster updates, distribution and posting to website
  • Maintaining email distribution lists for facility clinicians
  • Capturing, recording and tracking of Board Meeting expenses for budgetary reconciliation and planning
  • Compiles reports from data and existing records.
  • Survey development and result tabulation
  • Filing pertinent contract support materials
  • Coordination and receipt of annual board member E&C sign off materials
  • Develops and implements office procedures related to coordination of interoffice communications.
  • Practice and adhere to the “Code of Conduct” philosophy and “Mission and Value Statement”.
  • Track expenses for budgeting and MOR review purposes
  • Compiles information and creates all documentation & check requests for board member annual bonuses
  • Assists other staff as requested.
  • Participates in educational activities and programs.
  • Maintains strict confidentiality.
  • Coordinate with meeting planning resources:
  • Develop annual advisory board meeting schedule
  • Meeting logistics preparations
  • Arrange meeting space for 20-25 advisory board and 2-3 annual facility directors’ meetings
  • Develop meeting budgets
  • Determine meeting space requirements
  • Develop AV requirements
  • Prepare hotel contracts
  • Create rooming lists
  • Develop Catering orders
  • Set up travel accounts with world travel
  • Send out meeting/travel logistics to all attendees
  • Prepare final meeting expense reports and submit

Education

  • High School Graduate/Equivalent
  • Extensive experience with Microsoft Office Suite and meeting/event planning may be substituted

Experience

  • 3-7 years
