Job Summary and Qualifications

As an administrative assistant, you will perform administrative duties for the Vice President and other team members of the Real Estate team.

Your responsibilities include the following:

  • Open all Real Estate mail and distribute accordingly which includes scanning and e-mailing to the proper person/persons or other departments.
  • Support Senior Transaction Managers (11) with Real Estate Sales and Purchases which includes printing and obtaining property signatures, scanning and overnighting originals as instructed. Work with the in-house real estate attorney and the 3rd party attorneys with setting up wire request for earnest money and wire request for final real estate closings.
  • Support Senior Assist Managers (11) with the processing of the real estate leases through a system called PAWS. The PAWS routings are sent to the Real Estate Administrative Assistant from the 3rd party property managers. Print the leases and obtain proper signatures/witnesses and scan and upload the leases into PAWS record and then send originals Fed-Ex overnight as instructed.
  • Receive monthly cell tower antenna checks (approximately 85) which have to be coded to the correct hospital COID(s). Prepare a log sheet for all checks and send log sheet and checks to Corporate Asset Management. Maintain a copy and send a copy to our off-site cell tower consultant.
  • Maintain files on all real estate sales and purchases. Make sure that there is Real Estate closing binder on the real estate–shared drive for all closings.
  • Maintain off-site storage files through a system called Versatile which includes creating and logging files into versatile, sending new boxes to off-site storage and the retrieval of off-site storage files as needed.
  • Process all real estate invoices to Accounts Payable with correct hospital COID.
  • Maintain and order all real estate supplies through Staples.
  • Assist as requested with travel reservations and preparing expense reports through Concur.
  • Coordinate with appropriate departments and lawyers for the signing of real estate documents such as deeds, plats. Easements, etc.
  • Set up webex or conference calls when requested

What qualifications you will need:
  • High School Graduate / GED is required
  • Bachelor's Degree is preferred
  • 5 years of experience in a similar role is required
  • Will need to become a Notary Public once hired
