Job Overview and Requirements

Domus is the educational provider for incarcerated youth in the Hartford Juvenile Detention Center (HJDC). Students are remanded to the center and attend school, full time, until they are transferred to another program, or released. It is our obligation to provide their education experience. We use the common core standards and our curriculum.

The Administrative Assistant provides administrative and project support to the Principal of the Hartford Juvenile Detention Center Education Program. Additionally, this position supports the bill collection and payment of student tuition. This is a full-time position with the following schedule: Monday-Friday 7:30AM-3:30PM, and some additional hours occasionally as needed.

REPORTS TO: Director of Domus at Hartford Juvenile Detention Center

Essential Responsibilities

  • Manage and maintain calendars and schedules for the Education Program.
  • Provide administrative support to ensure efficient operation of the school office.
  • Manage all school records and tracking systems including generating report cards, following up with districts to obtain records and entering all information received on Thinkwave (Online grading system).
  • Manage correspondence for the Education Program including email communication and request for payment.
  • Assist with financial processes such as billing, expense approvals and reimbursement requests.
  • Prepares invoices for individual districts each month.
  • Prepares reports and provides updates of status of all outstanding invoices .
  • Responsible for reporting daily attendance records to individual districts and Hartford Public Schools
  • Partiicpates in monthly budget meetings
  • Ability to effectively communicate via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner. Meet and greet visitors.
  • Prepare, with support from Principal, the daily school schedule.
  • Develop organizational and tracking systems.
  • Responsible for confidential and time sensitive material.
  • Represent the Principal in meetings as appropriate.
  • Occasional travel to school locations.
  • May direct and lead the work of others.
  • Special projects as assigned.

Qualifications and Skills

  • Excellent organization, time management, and follow-up skills
  • Ability to produce consistent high-quality results under deadlines
  • Excellent interpersonal and communication skills, with demonstrated ability to speak and write clearly and persuasively
  • Highly proficient with MS Word, Excel, and PowerPoint
  • Exceptional problem-solving, critical-thinking, and strategic planning skills
  • Ability to successfully handle multiple projects concurrently
  • Demonstrated ability to be self-directed and take initiative
  • Commitment to the mission and core principles of Domus including the Sanctuary model of trauma-informed care
  • Driver’s license

Educational Background and Work Experience:

  • Bachelor’s degree preferred
  • Experience working in an organization that provides educational services to youth
  • Experience in providing administrative support

Compensation

  • This is a 10-month, full time position that follows the school calendar year.
  • Salary is $17 - $20 per hour. Staff members are provided with a comprehensive benefits package (health, dental, vision, 403(b) plan, life insurance, disability, etc.), and a working environment that includes all the necessary technology and resources to succeed.

Working Conditions

  • Work will be performed inside of the Hartford Juvenile Detention Center or alternative venue as established by the Director.
  • Expect to work a school day/year as established by the Director. This is a 10-month position.
  • Work will be under the supervision of the Director with periodic performance appraisals.
  • Will be working with faculty, staff, and administrators in a team-teaching approach.
  • The Hartford Juvenile Detention Center is an environment not controlled by Domus, which at times may be high-risk. Teachers will be required to follow all rules and procedures as established by the Hartford Juvenile Detention Center.
