OIC CAREER OPPORTUNITY

The Office of the Insurance Commissioner's (OIC) Market Conduct Unit is seeking a motivated and qualified individual to fill an Administrative Assistant 3 position. This position is assigned to the Company Supervision Division, located in our Seattle office.

As the Administrative Assistant, you will be responsible for accomplishing a variety of administrative tasks on behalf of the Chief Market Conduct Examiner and Chief Market Analyst. You will independently prioritize, and triage administrative requests directed to the unit. You will act as first point of contact for those seeking assistance or guidance from the unit. In addition, this position will serve as backup to Financial Condition Administrative Assistant.

This position is a Washington General Service position. The salary range for this position is $3,246 - $4,324.

  • Positions duty stationed in King County are eligible for 5% assignment pay in addition to the salary listed above.

Duties

Reporting to our manager for market conduct examinations, this position is responsible for independently providing administrative support for a variety of complex assignments in support of our market analysis and examination staff located in our Seattle office. Duties include, but are not limited to:


  • Provides administrative support and assistance to the Market Conduct and Control Unit, including issue, case, and complaint tracking. Coordinates, prepares, and arranges meetings as needed.
  • Uses independent judgment and knowledge of unit workload and deadlines to prioritize and triage requests for meetings and correspondence, schedules, and prepares Chief Examiner and Chief Analyst for staff meetings.
  • Attends meetings and document action items. Develop agenda, publish, and distribute correspondence.
  • Reviews administrative project methods, research alternatives, and presents recommendations to management to improve administrative processes.
  • Track analysis and examination status and monitor analysis, continuums, and examination progress.
  • Ensures all desktop policies and procedures are maintained and updated accordingly.
  • Coordinates with other departmental staff members on administrative practices and procedures.
  • Manages and tracks incoming and outgoing documents submitted to meet issuer compliance plans. Responsible to track, collect, and organize each iteration of enforcement binder through enforcement activity and potential compliance plan for Chief Market Conduct Examiner and Chief Analyst
  • Uses independent judgement to proactively monitor, review, research and respond to questions submitted to the Market Conduct and Control Unit electronic mailbox.
  • Acts as liaison with the OIC IT Department, examination management, and examiners to assist in finding solutions for hardware and software problems.
  • Performs critical administrative duties for the Company Supervision Division.
  • Coordinates delivery of materials, handles mail, email, and faxes for unit.
  • Ensures the NAIC Market Actions Tracking System (MATS) is current regarding market oversight activities. Activities include opening actions, documenting actions, and then closing these actions in MATS upon completion.
  • Processes mail.
  • Serves as safety coordinator.

Qualifications

  • One (1) year as an Administrative Assistant 2 or equivalent.
OR
  • A bachelor’s degree in public administration, business administration, or closely allied field and three (3) years of progressively responsible experience in office/clerical, secretarial, or general administrative work in a professional office environment at a senior level. Graduate study may substitute experience on a year for year basis.
OR
  • High school graduate or GED with seven (7) years’ progressively responsible experience in office, clerical, secretarial, or general administrative work.
AND
  • One (1) or more years editing and proofreading correspondence for self and others in a professional office environment.
  • Intermediate skills in Microsoft Office Suite – Outlook, Word, Excel, and Power Point.
  • Ability to type or input 40 words per minute.


Preferred/Desired Qualifications of this position include :
  • Some knowledge of insurance.
  • Proficient written and oral communication skills.
  • Ability to coordinate large amounts of data on a confidential basis.
