Eques Inc. powered by White Law Office, Co. is looking for a Administrative and Intake Assistant who enjoys assisting clients at our front desk, witnessing signings, notarizing documents, preparing documents to file, mail or email for for recordings or filing at our local courthouse and assist in drafting fee agreements or other client related documents. Working hours will be Monday - Friday, 9:00 AM - 3:00 PM.

We are looking for someone who is willing to be a part of a team, assist Eques paralegals with clients and client matters and is willing to work out of our Northfield, Ohio office. This candidate should be self-motivated, organized, detail-oriented, work well with people, able to manage high stress, and is comfortable with computers. This candidate should be comfortable working with a remote team, able to actively organize tasks in an efficient manner and have excellent communication skills. Adopting and operating according to existing and evolving Eques processes and procedures is non-negotiable.

Job Description:


  • Performs Intake and contributes to routing calls with team
  • Greets and screens incoming visitors in a professional manner and promptly notifies the appropriate person of their arrival.
  • Receives, sorts and distributes incoming mail and prepares outgoing mail in a timely manner.
  • Operates standard office equipment
  • Responsible of office errands including purchasing office supplies, bank deposits, courthouse, post office and other governmental offices.
  • Filing case documents in an organized manner for easy access
  • Communicating with potential clients or other attorney's offices via email, over the phone, or in person
  • Sending faxes and making copies of legal documents
  • Preparing documents and organizing the documents in a packet according Eques standards for client review and signings
  • Available for notary or witnessing signings
  • Preparing documents and organizing the documents in a packet according to governmental office standards for litigation or transactional matters.
  • Coordinate appointments, including all correspondence and logistics necessary as tasked by paralegals
  • Draft documents and letters from existing acquisitions using proper licensing templates as assigned by paralegals
  • Manage legal documentation and correspondence in strict confidence
  • Implement and improve upon administrative processes for more efficient workflow
  • Manage client billing by preparing, finalizing, and sending out bills, as well as resolving billing issues in cooperation with the billing attorney
  • Assists with recording documents at courthouse, auditors, recorders, tax map, fedex, and other governmental entities.
  • Performs other related duties as assigned.
