Full-time position Job Description:

Assist Executives

Oversee the Accounting Dept

  • A/R and A/P
  • Budgets
  • Property Tax Returns.
  • Sales and Use tax, reporting and compliance.
  • Prepare and oversee all Quarterly and Year end reporting.
  • Print and review aging reports on a weekly basis.
  • Generate estimates and invoices.
  • Initiate appropriate collection activity via past due notices, telephone correspondence and collection agency efforts.
  • Open and distribute incoming mail.
  • Perform assigned filing duties accurately to include: creating and maintaining filing systems/ retrieving records.

Oversee the Payroll and HR Dept.

  • Payroll, post and reconcile time cards for regular payroll.
  • Print payroll checks, payroll tax checks and appropriate payroll reports.
  • Prepare all IRS and State payroll forms and related reports.
  • Prevailing Wage compliance and reporting.
  • Ensure multi-state payrolls are done within compliance.
  • Maintain personnel files, including making sure all necessary forms are collected and filed at time of hire.
  • Assist new employees with the completion of payroll, benefits and other related forms.
  • Answer employee payroll, benefit and other related inquiries as needed.

Annual Manual Updates

ISN Safety and OSHA data entry and maintenance.

Customer Contract Reviews and Renewals

Oversee Customer service

  • Answering calls, emailing customers, completing KMZ files, Congested Area plans, dispatch sheets, job walk forms, Insurance certificates, etc.

Insurance Policy Maintenance and renewal.

Oversee the required records for DOT vehicle program/IFTA/etc.

Formatting/creating pdf, word, and excel documents/forms.

Type and file various correspondences and other documentation as required.

Maintain a professional office environment and promote a positive image for the business.

Perform other related duties as assigned.

Location will be at both of our offices:

Crestline, CA and Redlands, CA

Experience and Certifications:

  • 5+ years of accounting experience
  • Personal assistant experience
  • Must be able to work under deadline demands and in a fast-paced environment
  • Must have strong organizational skills along with excellent verbal and written communication abilities
  • Required to have regular attendance and punctuality
  • Proficient in Adobe, QuickBooks and Microsoft Office (Word, Excel, PowerPoint and Outlook)
  • Required to pass a pre-employment drug test/background
  • Required to have a valid Driver’s License and clean driving record
  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy.

Job Type: Full-time

Pay: $27.00 - $33.00 per hour
