GENERAL DESCRIPTION:
The primary responsibilities of the Accounting Assistant are to assist with correcting, processing, and reconciling a wide variety of documents such as invoices, departmental billings, employee reimbursements, cash receipts, vendor statements, and enrollment forms; review and code financial information; prepare and process documents to disburse funds, prepare reports; compile and review information for accuracy, and maintain records.

SUMMARY OF ESSENTIAL JOB FUNCTIONS:
  • Manage, verify, code, and distribute all disbursement documents such as invoices, employee reimbursements, credit card receipts, etc. for assigned program staff.
  • Compile, submit and distribute program billing in a timely manner to funding agencies.
  • Setup and maintain provider/vendor records in the program’s databases.
  • Assist in maintaining payment forms for programs current at all times in Minute Menu, Paycom, and other agency databases.
  • Submit billings and check/direct deposit registers to the Accountant in a timely manner.
  • Ensure that an adequate supply of check stock is on hand.
  • Stay current with funding agency requirements and assist with compliance at all times.
  • Reconcile and cross-reference provider payments to vendor payments. Provide collection services as needed.
  • Reconcile monthly vendor statements and resolve outstanding liabilities.
  • Process daily receipts to appropriate bank accounts.
  • Assist CFO, Accounting Manager, and Program Directors with compiling, researching, and retrieving various files and/or reports for program audits as necessary.
  • Assist with verification of enrollment forms of program providers.
  • Assist with various reports and documentation to support the Facilities Department.
  • Communicate non-profit tax status to all new vendors and staff.
  • Demonstrate excellent customer service and communication skills in working with Finance, Human Resources, program staff, agency staff, vendors, and others.
  • Provide backup assistance to other program and accounting staff as needed.
  • Generate reports as needed.

REQUIREMENTS:
  • Have a minimum of 2 years of accounting experience. Not-for-profit organization experience helpful.
  • Have a High School diploma or General Education Degree (GED) with training in general office procedures and bookkeeping through college courses and/or business school.
  • Must have strong work ethics, be well organized and a self-starter.
  • Must be able to follow standard filing procedures.
  • Must be detail-oriented, have a professional attitude, and be reliable.
  • Have the ability to type 60-65 wpm including statistical and financial typing with accuracy.
  • Possess strong organizational and time management skills.
  • Have strong problem-solving skills, basic accounting principles knowledge, documentation skills, research and resolution skills, data analysis, and multi-tasking skills.
  • Have knowledge of applicable accounts payable/accounts receivable systems and procedures.
  • Able to communicate effectively verbally and in writing.
  • Able to interact with employees and vendors in a professional manner.
  • Able to speak and write English fluently.
  • Able to work independently and with a team in a fast-paced and high-volume environment with an emphasis on accuracy and timeliness.
  • Able to perform mathematical computations such as percentages, fractions, addition, subtraction, multiplication and division quickly and accurately.
  • Comply with all agency and program policies and procedures including confidentiality, employee conduct, computer usage, and dress code.
  • Meet program/department’s performance and productivity standards.
  • Attend required agency and program/department meetings.
  • Adhere to the schedule agreed upon with the supervisor.
  • Follow and model CFR’s core values.
  • Participate in PQI initiatives.
  • Must be eligible and able to obtain a Level one fingerprint card.
  • Must have a valid Arizona driver’s license, and vehicle and meet agency liability insurance requirements.

ABILITY REQUIREMENTS:
  • Sitting for extended periods of time daily; standing and walking short distances.
  • Moderate twisting, bending, stooping, and lifting up to 40 pounds in the performance of assigned duties.
  • Ability to use a variety of office equipment and machines as referenced.
  • Normal manual dexterity and eye-hand coordination required.
  • Repeated hand-wrist movement required.
  • Specific vision abilities required by this job include close vision with or without accommodation.
