POSITION SUMMARY: This position carries the major responsibilities for providing organizational support to Miami Lighthouse Academy and assistance to the Director of the academy. Under general supervision, performs task related to student enrollment and registration, maintenance of student records, transportation coordination, and interpreting and managing data. This position will manage matters of significance making professionalism and confidentiality critical requirements of performance in carrying out duties.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following, but not limited to:

  • Provides organizational and administrative support for department operations.
  • Demonstrates organization, accuracy, and timeliness in fulfilling duties.
  • Coordinates the reporting systems so that both internal and external reporting is completed with maximum efficiency, speed, and accuracy.
  • Supports oversight of compliance with DCF, including review staff and student files, physical environment and emergency preparedness.
  • Ensures all student files are up-to-date including current addresses, immunizations and physicals. Send to appropriate entities when updated.
  • Monitors recruitment and enrollment of new students throughout the school year.
  • Updates enrollment forms as needed.
  • Maintains all pertinent records for students.
  • Monitors attendance procedures and enters in all required databases.
  • Enters client demographics into various database systems.
  • Communicate effectively with parents, administrators, instructional staff, and other employees.
  • Drafts and prepares agency correspondence
  • Gathers data and other information, submitting regular and special reports as needed.
  • Maintains accurate and timely data management and report filing.
  • Manages phone and e-mail correspondence and inquiries.
  • Works closely with team members to ensure smooth transfer of departmental information.
  • Remains flexible in accepting changes of assignment.
  • Schedules and attends meetings as required.
  • Maintains accurate, compliance records for Child Care Food Program
  • Maintain, review, and submit reports as required by various contract and grants. (ELC, MDCPS, Early Steps, CDBG and others as required by administration)
  • Creates and distributes quarterly Newsletter
  • Participates in departmental and agency quality improvement efforts.
  • Create agendas and complete meeting minutes.
  • Completes relevant forms and files appropriately.
  • Request, review and maintain transportation documents
  • Reviews budget and create purchase orders for administrative and program supplies.
  • Creates, reviews, and submit pertinent invoices
